Responsibilities

  • Oversee day-to-day office operations to ensure efficiency and organization.
  • Manage incoming calls, emails, and general inquiries, routing them to the appropriate personnel.
  • Greet visitors and customers, ensuring professional and welcoming experience.
  • Maintain organized physical and digital filing systems, records, and correspondence.
  • Prepare reports, spreadsheets, and presentations as needed.
  • Sort, distribute, and manage incoming and outgoing mail and packages.
  • Ensure the office environment is clean, organized, and compliant with safety regulations.
  • Monitor, order, and replenish office supplies; track and approve invoices.
  • Compare vendor pricing (e.g., Uline, Amazon) to manage costs and support budgeting efforts.
  • Maintain regular restocking of breakroom supplies.
  • Provide administrative support across departments, including Human Resources, Safety, and Sales/Marketing.
  • Aid in onboarding by preparing workspaces, coordinating with IT, and updating employee signage and materials.
  • Support event planning, including sourcing vendors, coordinating logistics, and managing setup/teardown.
  • Help manage calendars, appointments, and travel arrangements (e.g., booking flights).
  • Aid in company compliance with documentation and reporting.
  • Track and maintain records for safety meetings, vehicle inspections, and compliance documentation.
  • Coordinate and schedule required and supplemental training courses.
  • Support monthly safety meetings and Environmental, Health, and Safety (EH&S) initiatives.
  • Coordinate building maintenance activities, including sourcing vendors, obtaining quotes, and scheduling repairs.
  • Manage vendor relationships for services such as janitorial, landscaping, pest control, coffee service, and equipment maintenance (water, ice machines, etc.).
  • Address facility issues including plumbing, roofing, cabinetry, and general repairs.
  • Cooking room management, including addressing facility issues including plumbing, roofing, cabinetry, and general repairs.
  • Coordinate cleaning priorities with janitorial staff to maintain facility standards.
  • Assist with departmental reporting (e.g., operational reports, district highlights).
  • Support company events, meetings, conferences, and visitor coordination.
  • Set up conference rooms and enhance overall office presentation and hospitality.
  • Contribute to continuous improvement initiatives, including process documentation and workflow enhancements.
  • Support leadership team with expense, traveling, reporting and presentations

Requirements

  • High school diploma or GED required, associate's degree preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, multitasking, and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Experience with office management systems is a plus.
