About the role

The Office Administrative Manager plays a crucial role within EOC, supporting the professional and administrative needs of the office. This position is based in Englewood, CO and will relocate to Greenwood Village, CO by the start of 2027.

Responsibilities

  • Serve as the first point of contact for office matters, including work environment, space planning, event planning, conference room management, guest appointments, and office comfort.
  • Maintain and drive a professional, welcoming, inclusive, safe, comfortable, and organized office environment.
  • Supervise a full-time receptionist and ensure their job responsibilities are met by managing performance and providing coverage in their absence.
  • Oversee the procurement of office and break room supplies; coordinate with vendors for purchasing needs and may delegate to the receptionist.
  • Coordinate ordering of food and materials for meetings and coordinate with caterers.
  • Serve as the point of contact for visiting employees by providing directions, area recommendations, visitor badges, office tours, and assigning workstations for the day.
  • Coordinate and manage all aspects of office relocation logistics, including workstation assignments, vendor communications and agreements, and final move closeout, in partnership with supervisor and leadership from several HDR organizations.
  • Partner with the office Sustainability Steward to ensure sustainable practices are implemented and maintained.
  • Make cost-effective, ethical purchasing decisions that reflect shared ownership values and protect collective interests of employee-owners.
  • Manage office Purchase Card which includes making in-policy purchases within allotted amounts as outlined by our Finance and Accounting team, obtain proper approvals, and work with staff on eligible purchases such as conference registration.
  • Assist leadership with administration, executive support, and preparation of special reports.
  • Perform other duties as assigned.

Qualifications

  • Associates degree
  • Previous professional experience in the Engineering, Architecture, or Construction industry as an office administrator/manager
  • Comfortable handling confidential information
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Knowledge of A/E industry desired
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • Previous experience in the Engineering, Architecture, or Construction industry as an office administrator/manager
