About the role

The Office Administrative Assistant will provide administrative support in a professional office environment, preferably within a legal setting. The anticipated weekly schedule is 38.75 hours per week.

Responsibilities

  • Provide administrative support and backup coverage to attorneys and administrative team members
  • Aid in document preparation, document assembly, scanning, profiling, filing, and special projects
  • Coordinate client appointments, obtain signatures, and follow up regarding required documentation
  • Support new matter intake and conflict check processes
  • Assist with administrative requests across a variety of legal practice areas
  • Greet clients and maintain a client-ready reception area and conference rooms
  • Manage conference room calendars and coordinate meeting room set-up, catering, and technology needs
  • Process incoming and outgoing mail, including FedEx, UPS, and certified mail
  • Maintain the organization of common office areas, including copy centers, kitchens, and conference rooms
  • Perform other administrative tasks and projects as requested by attorneys and management

Requirements

  • 1+ years’ experience providing administrative support in a professional office environment, preferably within a legal setting
  • A sense of accountability for working independently and proactively
  • Exceptional oral and written communication skills, including excellent spelling, grammar, punctuation, form, and style
  • Excellent multitasking, organizational, and time management abilities
  • Proficiency with Microsoft Office, scanning, profiling, and managing documents
  • Superior client service and listening skills
  • The ability to work effectively with diverse personalities and exercise sound judgment
  • A team-oriented mindset with a willingness to assist where needed
