About the Role
The Occupancy Specialist works at Center Communities of Brookline as part of Hebrew SeniorLife’s Property Management team, assisting with the day-to-day operation of the community. This role supports the implementation of CCB’s Tenant Selection Plan by managing the waiting list, handling rental inquiries, leasing apartments, and completing tenant initial certifications and annual recertifications in accordance with HUD and all other federal, state, and local guidelines, including fair housing regulations.
The Occupancy Specialist collaborates with the Facilities Department and other staff to support residents, enforce lease terms and House Rules, and uphold CCB’s mission of helping elders remain independent and active. This position requires excellent customer service skills, patience, and the ability to handle interruptions and stressful situations professionally.

Responsibilities
- Assist with leasing apartments while meeting occupancy goals and complying with the CCB Tenant Selection Plan, HUD, and MassHousing requirements, including Fair Housing regulations.
- Respond to telephone inquiries, explain housing program requirements, and maintain regular contact with applicants.
- Interview applicants and conduct building tours/apartment showings.
- Maintain the waiting list and ensure compliance with HUD policies related to waitlist management and tenant selection.
- Process eligible applicants from application to admission under the Section 8 Program and Low-Income Housing Tax Credit (LIHTC) by verifying income, assets, and expenses, and entering data into Yardi affordable housing software.
- Assist residents with completing and understanding housing assistance paperwork to ensure compliance with program rules.
- Coordinate move-outs/move-ins and apartment renovations with the Facilities Department, including completing inspection forms.
- Prepare annual resident income and expense recertifications and interim recertifications for CCB and other Hebrew SeniorLife affordable housing sites.
- Maintain and update tenant files and archived records to ensure compliance with EHOLC, HUD, MassHousing, Spectrum, and other regulations.
- Stay current with HUD Section 8 and LIHTC regulations through training, workshops, and publications.
- Assist residents with referrals to community services and monitor their safety and well-being.
- Address resident complaints and concerns, taking corrective action as needed.
- Perform other related duties as required or directed.
Requirements
- College degree and/or 3 years of experience in property management.
- Certified Professional of Occupancy Certification or equivalent preferred.
- Prior experience with HUD Section 8 Affordable Housing Program and knowledge of HUD, MassHousing, and EHOLC regulations preferred.
- Experience with LIHTC and knowledge of Spectrum regulations preferred.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Experience with Yardi software or similar HUD Affordable Housing software is preferred.
- Exceptional organization, customer service, teamwork, and interpersonal skills.
- Ability to manage multiple tasks simultaneously, handle difficult situations, and demonstrate flexibility.
Pay
$50,950.20 - $71,330.27 per year
