About the role

The Records and Projects Assistant for the Human Resources Division (HRD) of the Office of the Attorney General is a part-time position (up to 30 hours/week) ideal for someone interested in human resources or interested in attending law school. The position assists division management and staff with projects, records management, and continuity operations. This position may also assist with a variety of other administrative, human resources, and law-related matters.

Essential position functions

  • Promptly and correctly e-files personnel actions and other documents into electronic master personnel files; ensures that electronic master personnel files contain all documents required by federal/state law and agency policy.
  • Assists with open records requests under the Texas Public Information Act (PIA) by assembling, reviewing, redacting, photocopying, and delivering records; also assists with subpoenas and discovery responses involving employment lawsuits and charges of discrimination.
  • Coordinates storage and disposition of master personnel files and other agency records pursuant to state law and the records retention schedule; maintains division file rooms.
  • Assists with special division and agency projects/events/meetings (e.g., Wellness Fair) by engaging in functions, including: creating PowerPoint presentations, contacting external stakeholders via telephone or email; collaborating with internal stakeholders; presenting ideas orally to stakeholders; editing and proofreading written content; preparing agendas; and assisting with physical set up for events.
  • Assists Human Resources Director, Chief Employment Counsel, and Ethics Advisor, as needed; also assists Deputy Director and division managers, as needed.
  • Performs related work as assigned.
  • Maintains relevant knowledge necessary to perform essential job functions.
  • Attends work regularly in compliance with agreed-upon work schedule.
  • Ensures security and confidentiality of sensitive and/or protected information.
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity.

Minimum qualifications

  • Education: Completion of at least 30 semester hours at an accredited college or university.
  • Knowledge of Microsoft Word.
  • Superior customer service and listening skills.
  • Skill and ability to communicate well with people of all levels.
  • Skill and ability to quickly handle multiple tasks, prioritize, and meet deadlines.
  • Skill and ability to receive and respond positively to constructive feedback.
  • Skill and ability to tolerate stress.
  • Skill and ability to compose error-free business letters and emails.
  • Skill and ability to work cooperatively with others in a professional office environment.

  • Skill in exercising sound judgment and effective decision making.
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave).
  • Ability to arrange for personal transportation for business-related travel.
  • Ability to work more than 40 hours as needed and in compliance with the FLSA.
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%.

Preferred qualifications

  • Education: Currently pursuing from an accredited college or university a degree in pre-law, human resources, management, records management, business, psychology, political science, history, English, or a related field.
  • Interest in pursuing a career in law, human resources, or records management.
  • Excellent writing skills with a continued interest in improving such skills.
  • Enthusiastic, resourceful, and willing to assist.
