About the role

The Nursing Secretary plays a vital role in supporting clinical and administrative operations by organizing and coordinating office procedures to ensure efficiency, accuracy, and confidentiality. This position serves as a key communication hub for the nursing and clinical teams, assisting with medical records, intake coordination, and daily administrative support in a fast-paced healthcare environment.

Responsibilities

  • Organize, file, transcribe, transfer, and maintain medical and client records; monitor and update charts as needed.
  • Perform general clerical duties including answering phones, typing, copying, faxing, mailing, filing, and distributing materials.
  • Assemble and maintain up-to-date client packets and assist with intake documentation and billing sheets.
  • Support communication with referral sources and assist with check requests, census updates, and intake/discharge logs in the absence of the Office Manager.
  • Attend staff meetings, take meeting minutes, and maintain the office’s policy and procedure manual.
  • Maintain office equipment, coordinate with vendors for service and repairs, and ensure the office remains organized, professional, and clean.
  • Transport and supervise clients to and from designated locations, ensuring completion of all required documentation.
  • Exercise sound judgment and maintain strict confidentiality of all client and organizational information.
  • Complete all required trainings as designated by the organization and applicable accreditation or licensing entities.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent required; post-secondary or Technical/Business School education preferred.
  • Previous experience in an administrative assistant, nursing secretary, or secretarial role preferred.
  • Valid driver’s license required.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Professional communication skills and ability to work collaboratively with clinical and administrative teams.
