Position Summary

Provide administrative support to the Regional Office Administrative Manager, assisting with other special projects and tasks as necessary. Assist with various office event planning and general administrative tasks as assigned. Serve as a supporting administrative resource to the Senior Regional Manager of Administrative Services and Managing Director, Regional Administration. Assist with planning office events across all three East Region offices (New York, Charlotte, and Washington, DC).

Position Responsibilities

  • Assist with processing regional office invoices and expenses, and tracking RSVPs for various meetings/events.
  • Add regional events to internal Firm Calendar as needed.
  • Aid in researching, planning and executing Winston for Good events for NY, DC, and CL offices.
  • Track RSVPs for volunteer events, update Concierge teams on room/meal details, and follow up with attendees about Winston for Good shirts.
  • Liaise with Corporate Social Responsibility team about potential events as needed.
  • Support with office event planning such as the annual Holiday Parties, quarterly office events and attorney receptions and dinners.
  • Create materials for in-office events, including invitations, signage, and food cards.
  • Provide administrative support to Business Development department with event tasks such as nametags, RSVP management, set-up, and registration/on-site support, as needed.
  • Aid in maintaining NY office floor plans and new hire office assignments up to date and distributing plans to appropriate group on a monthly basis.
  • Keep New York, Washington, DC, and Charlotte office event calendars up to date.
  • Update events and schedules for DC and Charlotte Winston Dailies on a weekly basis and send them out to respective offices each morning.
  • Send daily Welcome emails to visiting attorneys in the NY, DC, and CL offices.
  • Aid in compiling orientation schedules for newly hired Of Counsels and Partners in NY, DC, and CL offices.

Experience, Skills, And Qualifications

  • High school diploma or GED required.
  • Bachelor’s degree or equivalent work experience desired.
  • 1+ years of administrative assistant experience in a professional services environment required.
  • This is an in-office role and will be expected to be in the office 5 days per week.
  • Experience working in a fast-paced environment strongly preferred.
  • Proven ability to organize, prioritize, and multi-task in a time-sensitive environment while maintaining high standards of work quality and customer service.
  • Experience with MS Office Suite and other software.
  • Ability to use database, spreadsheet and word processing software and equipment.
  • Work occasionally requires a high level of mental effort and strain while managing a variety of work situations.
  • Work occasionally requires more than 35 hours per week to perform the essential duties of the position.
  • Ability to interact with all levels of personnel, and project a strong and positive image of the firm.
  • Interpersonal skills necessary in order to communicate in person, by e-mail and telephone, and follow instructions effectively from a diverse group of internal and external clients, attorneys and staff.

PAY

New York applicants only: The target annual salary range for this role is currently $65,000-$80,000 based on a regular, full-time schedule. The amount of compensation offered will be determined by several factors, including but not limited to experience, qualifications, market data and internal equity. Total compensation includes a comprehensive healthcare benefits package, yearly retirement contribution, and may include an annual discretionary merit bonus.
