About the Role

The Medical Office Specialist (MOS) is responsible for front desk coverage for the medical practice, including registration, check-in, collecting co-pays, scheduling appointments, billing patients, and scanning records into EMR. The MOS must possess medical terminology knowledge, strong organizational and communication skills, and the ability to adapt to flexible work schedules and frequent interruptions while maintaining a calm and professional demeanor. Reliability, tact, honesty, and discretion in maintaining confidentiality are essential.

Responsibilities

  • Front desk coverage, including patient registration and check-in/check-out
  • Collect co-pays and handle patient billing
  • Schedule appointments and manage patient records
  • Scan records, reports, and correspondence into EMR
  • Perform end-of-day cash balancing and charge reconciliation (according to clinic protocol)
  • Maintain professionalism and confidentiality in all interactions
  • Operate office equipment such as fax machines, copiers, telephone systems, and EKG machines

Requirements

  • High School Diploma or equivalent (required)
  • Completion of an accredited Medical Office Assistant/Specialist program or Medical Assistant program (preferred)
  • Medical Assistant Certificate of Completion and/or one year of experience as a Medical Assistant or Medical Office Specialist (preferred)
  • Familiarity with medical terminology
  • Experience with patient check-in and check-out processes
  • Proficiency in basic computer programs (e.g., Microsoft Office) and operating systems
  • Strong interpersonal, organizational, and communication skills
  • Ability to multi-task and remain detail-oriented
  • Must be able to perform courteously and professionally in all interactions

Work Environment

  • Works in a well-lighted, OSHA-compliant environment
  • May be exposed to infectious and contagious diseases
  • Occasionally subject to irregular hours
  • May require travel to other locations or wearing personal protective equipment

Physical and Mental Requirements

  • Must be able to remain calm and focused in emergency situations
  • Must be able to see with corrective eyewear
  • Must be able to hear clearly with assistance
