Responsibilities
- Receive loan files from Loan Officers and review loan applications, disclosures, and supporting documentation for accuracy and completeness
- Set up and maintain loan files correctly in Encompass, including detailed data entry and document indexing
- Review AUS findings for flags: Income, Appraisal, Assets, Counseling
- Identify red flags early and communicate issues clearly to Loan Officers
- Maintain organized, accurate, and compliant loan files at all times
- Submit clean, complete loan files to underwriting
- Review underwriting conditions in detail and coordinate condition clearing with Loan Officers and borrowers
- Re-submit files accurately and in a timely manner
- Stay organized with long-term due dates and achieve CTC as early as possible
- Maintain clear notes and status updates in Encompass
- Prepare loans for closing once clear-to-close is issued
- Care for coordination with title companies and closing teams as needed
- Issue CDs timely for closing and balance with the Title
- Review closing documentation for accuracy and completeness
- Support funding and post-closing follow-up when required
- Manage multiple active loan files simultaneously
- Maintain accurate loan milestones, notes, and status updates
- Leave detailed notes for all parties in Encompass and Spreadsheets
- Communicate proactively with Loan Officers, underwriters, and borrowers
- Escalate risks or delays early to avoid missed closing dates
- Attend loan operations and pipeline meetings as required
- Identify opportunities to improve workflow efficiency and file quality
- Assist with procedural improvements and best practices
- Perform related duties and projects as assigned
- Make weekly phone calls to all borrowers on all loans for status updates
Qualifications
- 2+ years of recent mortgage processing or UW experience preferred
- Hands-on experience using Encompass as a primary LOS
- Strong understanding of Conventional, FHA, and VA loan guidelines
- Ability to manage volume without sacrificing accuracy
- STRONG organizational, detail-oriented, prioritization, and follow-up skills
- Clear written and verbal communication skills
- Proficiency with Microsoft Word and Excel
- Professional demeanor when interacting with borrowers and internal teams
