About the role

We are seeking a detail-oriented Mortgage Loan Coordinator/Set-up Specialist to join our close-knit mortgage team in a hybrid role at our Corporate Headquarters. This position ensures smooth, compliant mortgage transactions by working directly with loan officers, processors, and borrowers in a fast-paced, accuracy-driven environment.

Responsibilities

  • Work directly with loan officers and processors to obtain borrower documentation.
  • Ensure new mortgage loans submitted for initial disclosures and set-up are complete, compliant, and meet minimum file submission requirements.
  • Send all initial disclosures and prepare re-disclosures as required.
  • Complete set-up and ordering requirements for each loan file; follow up to ensure all documentation is received and accurate.
  • Collaborate with processors to address any additional requirements.
  • Handle initial internal locks, re-lock, and lock extension requests.
  • Answer telephones, respond to general borrower questions, route calls, and take messages.
  • Manage the mortgage hotline, returning or forwarding member inquiry calls as appropriate.
  • Research and respond to member inquiries regarding mortgage payments, balances, escrow management, and related topics.
  • Serve as a back-up loan processor and assist with secondary market locks as needed.

Requirements

  • High school diploma required; associate degree or equivalent work experience preferred.
  • Two or more years of mortgage lending or banking experience.
  • Knowledge of mortgage processes, credit applications, credit reports, and mortgage application documents, including compliance.
  • Familiarity with loan origination systems; experience with Encompass preferred.
  • Valid driver’s license and reliable transportation.

Skills

  • Understanding of residential mortgage funding, loan documentation, and federal/state regulations.
  • Strong attention to detail and accuracy in reviewing and processing complex financial documents.
  • Analytical and problem-solving skills to identify discrepancies and ensure regulatory compliance.
  • Effective verbal and written communication for interacting with internal teams, lenders, and clients.
  • Organizational and time-management abilities to handle multiple priorities and meet deadlines in a fast-paced environment.
  • Technical proficiency with Microsoft Office Suite and related tools.
