About the role

Are you ready to step into a leadership role while still staying hands-on with youth? As our Middle School Youth Program Coordinator, you’ll supervise and engage directly with students during afterschool and summer hours, helping to create a safe, fun, and supportive environment. You’ll manage daily programming, guide a small team of staff, and collaborate with schools and families to support student growth. This full-time position is ideal for someone who enjoys working with middle schoolers, has strong communication skills, and is ready to take ownership of a site while staying actively involved in day-to-day activities. Responsibilities

  • Programming
    • Provide direct care and supervision of youth during afterschool and summer program hours
    • Develop daily and weekly site schedule
    • Develop activity schedule, assign Youth Development Professionals to plan activities, and review activity plans and provide feedback as necessary
    • Purchase supplies required for activities, track expenses, and stay within given budget
    • Educate students on check-in and out process and ensure students check-in and out when in attendance and when leaving
    • Educate parents on the use of ProCare as the program’s primary communication tool
    • Incorporate the use of evidence-based curriculum to support positive youth development
  • Direct Student Support
    • Work closely with students during the school day and afterschool to improve academics and achieve personal goals
    • Support students and implement consequences as identified in the organization’s policies and procedures and any written behavior plans
    • Facilitate communication between school-day and afterschool staff to ensure seamless support for students
    • Connect students who are facing challenging circumstances with resources to help them be successful
    • Assist students during key transitions (e.g., moving to a new grade or school)
    • Encourage students to participate in clubs, extra-curricular activities, etc.
    • Help students with personal hygiene, handwashing, etc.
  • Family & Community Engagement
    • Communicate with parents and guardians about their youth’s successes and challenges
    • Help parents and guardians through the enrollment process to ensure accurate completion
    • Work with students, families and school staff to encourage enrollment and attendance
    • Collaborate with community programs to bring engaging and enriching activities to our out-of-school time program
    • Build strong connections with families to understand their needs and connect them with resources to help them thrive
    • Plan and lead family engagement events to foster a supportive community
    • Work alongside school administration and community partners to plan and/or participate in school wide and community wide events
  • Collaboration
    • Set and achieve goals with agency and school principals
    • Collaborate regularly with agency and school leadership to ensure consistent support for students
    • Participate in leadership teams and meetings to stay aligned with organizational goals
    • Ensure timely and effective communication with all school administration, Community Learning Center & Volunteers of America, Dakotas staff
  • Record Keeping
    • Maintain site binders with necessary student information
    • Ensure accurate student attendance records and communicate any changes in enrollment
    • Accurately maintain snack records and other required reporting
  • Supervisory
    • Plan and facilitate weekly site meetings
    • Review and approve Youth Development Professionals’ timeclocks
    • Complete annual reviews for Youth Development Professionals
    • Review weekly staff schedule
    • Report any absences to Out-of-School Time Operations Manager
    • Monitor staff levels to maintain appropriate staff to child ratio and immediately report any staffing issues to Out-of-School Time Operations Manager
  • General
    • Attend scheduled meetings and required trainings
    • Complete all trainings required by organization within identified timeframe
    • Complete administrative tasks on time (e.g. timesheet, credit card reporting)
    • Report any safety, maintenance or equipment concerns as soon as possible
    • Maintain a high level of confidentiality with sensitive information
    • Report any instances (or suspected instances) of child abuse and neglect to proper authorities
    • Other duties as assigned

Requirements

  • Education: A high school diploma or GED is required. Associate’s degree or higher or equivalent combination of education and experience preferred.
  • Experience: At least two years of experience in school-aged care, education, social services, or a related field with a strong preference for candidates with experience working with middle school age youth.
  • Skills:
    • Strong ability to build relationships with school administrators, personnel, students, parents, and the public
    • Excellent verbal and written communication skills
    • Knowledge of community resources and experience working with underserved populations is a plus
  • Licenses: Valid driver's license and reliable transportation.
  • Other Requirements: All candidates must be at least 18 years old.

Physical Demands

  • Ability to stand, walk, sit, manually manipulate, reach outward and above shoulders, speak, climb, crawl, squat, kneel, and bend on a daily basis
  • Capability to lift, carry, push or pull up to 30 lbs on a daily basis

Schedule

Monday-Friday, approximately 9:45 AM – 6:15 PM with a 30-minute break.
