Medical Support Assistant (Medical Receptionist)

About the Role
The Medical Support Assistant plays a key role in coordinating care between VA and community providers, managing appointment scheduling, and ensuring accurate patient information is maintained. This position supports healthcare delivery by facilitating timely access to care for Veterans and maintaining communication with medical teams and patients.
Responsibilities
- Schedule and track appointments according to established outpatient scheduling policies
- Coordinate and authorize care with community providers when VA services are unavailable or delayed
- Process community care consults using designated VA systems
- Update and verify patient demographic and insurance information
- Enter health and administrative data into VA electronic record systems
- Handle incoming calls courteously and respond to service inquiries
- Use VA software and Microsoft Office tools daily
- Open and close clinics and update appointment no-shows promptly
- Manage incoming and outgoing communications in compliance with privacy standards
- Respond to voicemails within two business days
- Complete a daily average of 20 cases weekly
- Communicate VA Community Care policies to internal providers
- Address patient and co-worker concerns professionally
- Collaborate with scheduling team to maintain competency and positive representation
- Report system issues to supervisors
- Maintain IT security and confidentiality of sensitive information
- Ensure patient identification meets policy requirements
- Comply with regulatory program review criteria
Requirements
- Eligible for Public Trust government security clearance; US Citizenship required
- Resident within 50 miles of the Oklahoma City VA Medical Center
- High School Diploma or GED equivalent
- Proficient in oral and written English
- Basic computer skills with proficiency in Microsoft Office Suite
- Typing speed of at least 50 words per minute
- Basic knowledge of medical terminology
- Minimum 6 months of customer service experience
- No physical or health restrictions affecting job performance
- Prior VA or federal healthcare administrative experience preferred
Pay
Hourly Pay: $18.36 per hour
Health & Wellness Pay: $5.09 per hour (prorated based on benefits enrollment including employer-paid plans)
