About the Role

The Medical Staff Administrative Manager manages and coordinates all activities of Medical Staff Services, including Medical Staff Services activities, Medical Staff Administrative services, the Medical Education Program, and Medical Staff Credentialing Processes. Acts as liaison between the medical staff and medical centers within parameters established by leadership.

Responsibilities

  • Provides oversight and coordination for the operations of the Medical Staff Office functions, Credentialing Processes, and Medical Education.
  • Ensures policies and procedures for the department are current and implemented.
  • Acts as liaison between the medical staff and medical centers within parameters established by the Chief Executive Officer and officers of the medical staff.
  • Assists medical staff officers, service chiefs, and committee chairmen in fulfilling the responsibilities of their offices/appointments.
  • Assists in developing and maintaining physician and medical staff officer orientation programs.
  • Collaborates with the Medical Staff to ensure Medical Staff Bylaws, Credentialing Manual, Rules & Regulations, Medical Staff Policies, and Procedures are current and accurate.
  • Serves as a resource person for interpretation and understanding of said documents.
  • Works closely with the Chief Compliance and Risk Officer and Clinical Risk Manager.
  • Participates in risk reduction activities and liability mitigation as directed.
  • Supports Medical Staff Officers and Service Chiefs in facilitating the peer review process.
  • Collaborates with the Clinical Risk Manager in preparing correspondence with providers for follow-up peer review reports.
  • Ensures compliance with regulatory and accreditation standards for medical staff services and medical staff education (e.g., CoP's, JC standards, Kansas Medical Society, federal, state).
  • Provides oversight and direction for compliance efforts.
  • Participates in committees, meetings, and projects as assigned; leads projects to completion.
  • Completes agendas, minutes, and reports for committees; serves as committee or meeting chair or facilitator if assigned.
  • Assists in establishing measures related to medical staff services and the medical/allied health staff.
  • Completes or coordinates data collection, analysis, interpretation, and display for various reports; ensures data accuracy and timeliness.
  • Ensures accurate and timely collection of medical staff and allied health staff-specific data for the health system.
  • Compiles and analyzes data with various departments for monthly, quarterly, and annual reviews.
  • Performs budget management with responsibility and accountability.
  • Prepares annual budgets for the medical staff organization, medical staff office, and medical staff lounge; submits for appropriate approvals.
  • Supervises payments from accounts and maintains appropriate records for the department and medical staff account.
  • Works collaboratively with Executive Leadership and legal on creating, renewing, and evaluating applicable contracts relating to medical staff physician services.
  • Attends bi-weekly Physician Contract meetings and monthly New Service Implementation Work Group meetings.
  • Initiates working documents, correspondence, and meetings with Executive Leadership, Medical Staff Leadership, Legal Department, and Risk Management relating to Practitioner Health Committee items.
  • Ensures monitoring programs with providers on staff with the Kansas Medical Society Impaired Practitioner Health program are in compliance; maintains and conveys all documentation appropriately.
  • Schedules and coordinates all on-site drug testing for providers as appropriate.
  • Coordinates and manages all delegated credentialing; schedules and coordinates all surveys to ensure compliance with NCQA standards.
  • Manages time effectively, consistently meets deadlines, and ensures attendance and timeliness.
  • Performs other duties as assigned.

Requirements

  • Associate’s Degree.
  • 1 or more years of medical staff office, provider credentialing, hospital leadership, or practice management experience.

Preferred Qualifications

  • Bachelor’s Degree.
  • 3 or more years of medical staff office, provider credentialing, hospital leadership, or practice management experience.
  • Certified Professional Medical Services Management (CPMSM) – National Association of Medical Staff Services (NAMSS).
