Position Summary
The Medical Secretary provides administrative and secretarial support to physicians and the Practice Administrator while serving as a key point of contact for patients. This role is responsible for ensuring efficient daily office operations, delivering exceptional customer service, coordinating patient scheduling, and maintaining accurate medical records in a fast-paced specialty practice.
Key Responsibilities
- Provide administrative and secretarial support to physicians and the Practice Administrator.
- Greet and assist patients in a professional, courteous, and compassionate manner.
- Schedule, confirm, and coordinate patient appointments, procedures, and referrals.
- Answer and direct incoming telephone calls while addressing patient inquiries appropriately.
- Maintain accurate patient records and documentation within the electronic medical record (EMR) system.
- Coordinate communication between patients, providers, pharmacies, and referring physicians.
- Process correspondence, medical forms, prior authorizations, and other administrative documentation.
- Support daily office operations while ensuring compliance with HIPAA and organizational policies.
- Collaborate with clinical and administrative staff to deliver an exceptional patient experience.
Qualifications
- Associate's degree or equivalent combination of education and experience required.
- Three (3) to five (5) years of administrative or medical secretarial experience, preferably in a physician practice or specialty medical office.
Preferred Qualifications
- Previous experience in gastroenterology or another medical specialty practice.
- Experience using electronic medical record (EMR) systems.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal and written communication skills.
- A commitment to providing outstanding customer service and patient-centered care.
