Miami Jewish Health is one of the largest providers of healthcare and living options for aging adults in the Southeast. We operate Florida PACE (Program of All-Inclusive Care for the Elderly) Centers, the largest PACE program in Florida, which serves as health plan, healthcare provider, and social center designed for older adults with complex medical needs. About the Role
Provides secretarial support utilizing specific knowledge of medical terminology and hospital, clinic, or laboratory procedures; performs clerical duties for PACE staff as needed.
Responsibilities
- Handles all telephone calls and greets visitors and participants; takes messages as needed and delivers to appropriate personnel.
- Schedules all participant diagnostic appointments and medical consultations.
- Requests medical records; ensures that all results from laboratory, radiological, and other tests and procedures are obtained and reported to the physician and clinical staff.
- Checks all medications received from Pharmacy on a daily basis to ensure they match what was ordered; prepares them with delivery tickets and distributes them to the appropriate driver.
- Maintains unit-specific documentation as per department guidelines and regulatory standards.
- Maintains Electronic Medical Record.
- Acts as support for Patient Coordinator; understands priorities of Coordinator position and performs scheduling and coordination duties when required, including authorizations.
- Provides authorization for treatment/procedures to hospitals and other providers; enters information in the system and maintains an updated agenda.
- Responsible for updating daily IDT agenda and recording daily IDT minutes.
- Performs clerical and support functions for the department.
- Attends department meetings and in-services as needed.
- Orders supplies for PACE on the Meditech system.
- Manages traffic flow in the clinic exhibiting assertive professional behavior at all times.
Requirements
- High School Diploma or equivalent.
- Minimum six months of office clerical experience, preferably in a healthcare setting.
- Medical secretary certification preferred.
Skills
- Knowledge of medical terminology.
- Strong organizational skills.
- Self-starter and self-motivated.
- Strong computer skills; proficient in Microsoft Outlook, Word, Excel, PowerPoint.
- Ability to work with geriatric patients.
- Demonstrates a caring attitude toward PACE participants, family members, employees, and other facility guests.
- Must be able to speak, read, and write English.
- Bilingual Spanish/English preferred.

- No routine or potential exposure to blood/body fluids/tissues, but may require performing unplanned activities which may involve exposure.
