MEDICAL REGISTRATION SUPERVISOR
About the Role
The Medical Registration Supervisor oversees daily front desk and patient registration operations, supporting the Medical Registration Manager and Site Manager. This role ensures accurate, efficient patient registration processes, supervises and mentors registration staff, manages performance tracking and evaluations, resolves patient and staff concerns, and promotes a positive, customer-focused work environment. The ideal candidate demonstrates strong leadership, problem-solving, communication, and team-building skills while maintaining compliance with organizational policies and delivering exceptional service to patients, physicians, and colleagues.
Responsibilities
- Assist in supervising front desk employees in accordance with organizational policies and applicable laws, including interviewing, hiring, and training.
- Maintain staff performance logs, tracking accuracy, productivity, collections, teamwork, and customer service; address trending issues and document disciplinary actions.
- Write and conduct staff performance evaluations with feedback from managers.
- Prepare weekly deposits and ensure task coverage during absences.
- Maintain weekly/daily seat rotation and/or greeter desk rotation.
- Act as department leader, addressing complaints and resolving problems in a timely manner.
- Assist all departments with registration-related questions.
- Demonstrate a commitment to "World Class Customer Service" and promote a positive work environment.
- Handle patient complaints and escalate to the Site Manager when needed.
- Assist in managing difficult situations with patients, staff, or referring physicians.
- Communicate front desk changes and staffing issues to the Site Manager and Medical Registration Manager.
- Monitor adherence to legal and company requirements for information retention, access, storage, and security.
- Perform other duties as assigned.
Qualifications
- High School Diploma or Equivalent.
- 2+ years of experience in healthcare (e.g., patient admitting/registration, patient accounting, medical records, physician's office) or completion of a medical billing or medical assistant trade school certificate.
- 1–2 years of lead or supervisory experience.
- Basic computer skills.

Physical Requirements
While performing the duties of this job, the employee is frequently required to sit and regularly stand and walk. The role involves using hands to finger, handle, or feel; reaching, pushing, or pulling with hands and arms; talking and hearing. The employee may occasionally lift and/or move up to 25 lbs. Specific vision abilities required include close vision, color vision, and the ability to adjust focus.
