About the role

This position is responsible for processing, maintaining, storing, and retrieving patient health information in accordance with applicable Federal, State, and accrediting agencies’ requirements. The role is primarily remote, with occasional in-office work for departmental document projects.

Responsibilities

  • Recognizes patients’ rights and responsibilities and supports them in the performance of job duties.
  • Respects patient’s rights to privacy and confidentiality.
  • Collects and retrieves patient medical files.
  • Ensures healthcare workers and employees can easily access relevant information for a specific patient’s chart or file when needed.
  • Effectively escalates and reassigns payor denials, issues, and correspondence to various departments.
  • Processes, facilitates, and submits medical records requests.
  • Coordinates with the insurance payment collectors on payor requests and denials.
  • Prints and uploads medical record documents via online portals such as Availity, Navinet, etc.
  • Documents patient accounts in a timely and consistent manner.
  • Compiles medical record documents and provides timely payor responses.
  • Tracks production and payor medical records request volume for process efficiency, according to current production standards.
  • Contacts offsite clinic personnel to obtain additional medical record documentation.
  • Provides timely email responses to medical record inquiries.
  • Completes data entry, scanning, filing, e-faxing, medical records release, and attachments to payer websites.
  • Sorts, tracks, and scans incoming mail.
  • Attaches patient-specific correspondence to the patient EMR.
  • Researches and provides information for missing documents and/or escalation issues.
  • Performs clerical tasks such as printing, ordering, and distributing supplies.
  • Adheres to strict confidentiality policies and procedures while handling confidential financial data.
  • Shares knowledge gained with other staff members and works as a team member.
  • Interacts with others in a positive, respectful, and considerate manner.
  • Performs other job-related duties as assigned.

Requirements

  • A high school diploma or general education degree (GED) equivalent is required; some college preferred with electronic filing experience or equivalent combination of education and experience.
  • Knowledge of electronic medical filing.
  • Flexibility and strong interpersonal skills.
  • Exceptional organizational skills.
  • Great attention to detail and accuracy.
  • Ability to handle multiple tasks simultaneously.
  • Work quickly and effectively to organize data and meet deadlines.
  • Ability to communicate effectively and professionally with customers and external contacts.
  • Knowledge in the use of standard office equipment such as computers, scanners, telephones, fax machines, and headsets.
  • Knowledge in the use of email and Microsoft applications.
  • Ability to quickly learn the use of software such as Complete Patient Records (CPR) program and phone line monitoring systems.
