About the role
Provides clerical/administrative support in medical records, clinics, or other departments of a medical treatment facility.
Responsibilities
- Takes messages as required.
- Schedules and arranges medical appointments and determines patient eligibility for services.
- Processes name and scheduling for appointments and provides appropriate access to care timeframes.
- Maintains appointment schedules using government computer systems and standard protocols and procedures.
- Validates basic GENESIS patient demographic information before booking appointments for patients.
- Maintains accurate and up-to-date patient schedules and logs.
- Utilizes government computer system tools and standard protocols and procedures (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options, or cancellation.
- Contacts patients or responds to secure messaging requests as needed to schedule, reschedule, and/or cancel appointments.
- Promotes consult/referral specialty medical care within the MTF or at civilian facilities.
- Provides patient with specific visit instructions.
- Obtains updates and files medical records.
- Extracts needed information from patient records and reviews for completeness, accuracy, and consistency.
- Initiates and locates patient medical records.
- Maintains medical records in accordance with prescribed directives.
- Conducts daily pull, delivery, and retrieval of patient records.
- Ensures arrival of medical records prior to appointment(s).
- Confirms availability of medical records for upcoming appointments on provider schedules.
- Prepares reports regarding record statistics as necessary.
- Participates in records review as part of the facility’s quality assurance program and in accordance with accreditation standards.
- Retires medical records in accordance with regulatory procedures and guidelines.
- Delivers telephone messages (t-cons) to PCMs and/or clinic nurses using the Government computer system, standard protocols, and individual clinic guidelines as needed.
Requirements
- High school diploma or General Educational Development (GED) equivalency.
- At least 6 months of experience in a medical clinic or medical office setting performing scheduling, administrative, and medical records duties.
- A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.
Qualifications
- RHIA, RHIT certification is required.
Skills
- Excellent communication and organizational skills.
- Knowledge of medical terminology and coding systems.
- Ability to work independently and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office applications.
