About the role
We're looking for a detail-oriented and dependable Medical Records Assistant to join our team!
Responsibilities
- Aid in organizing, planning, and maintaining the Medical Records Department.
- Support the Medical Records/Health Information Consultant as needed.
- Build positive working relationships with nursing, clinical staff, and other departments.
- Retrieve, organize, and deliver resident medical records, both manually and electronically.
- File nurses' notes, resident assessments, progress notes, laboratory reports, X-ray results, correspondence, and other documentation into resident charts.
- Assemble, review, and maintain resident charts to ensure records are complete and properly filed.
- Return incomplete records to the appropriate department or staff member for completion.
- Answer phone calls related to medical records in a courteous and professional manner.
- Provide medical records to authorized personnel, including physicians, nurses, and government agencies, while following all confidentiality guidelines.
- Track records that are signed out and ensure they are returned promptly.
- Maintain active and inactive medical records in accordance with facility policies.
- Protect resident privacy by maintaining strict confidentiality and promptly reporting any suspected privacy concerns or violations.
- Aid with additional duties as needed to support the department and facility.
- Occasionally work beyond regularly scheduled hours, including weekends, holidays, or during emergency situations when additional support is needed.
Requirements
- A high school diploma or GED.
- Basic computer skills, including data entry and information retrieval.
- Strong organizational skills and attention to detail.
- Ability to communicate effectively in English, both verbally and in writing.
- Professional, courteous, and compassionate communication with residents, visitors, and coworkers.
- Ability to work independently while also being a collaborative team member.
- Knowledge of medical terminology, anatomy and physiology, health information management, coding, or indexing (preferred).
Qualifications
- Ability to type at least 45 words per minute and use dictation equipment.
- Physical requirements: ability to move throughout the workday, lift, carry, push, and pull up to 25 pounds, including moving items up to 5 feet high and carrying them up to 50 feet.
