About the role

A Front Office Specialist acts as the first point of contact, setting the tone for a world-class Total Patient Experience. This role performs administrative tasks to create a smooth check-in and check-out experience for patients.

Responsibilities

  • Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support.
  • Provide exceptional customer service during every patient encounter (in person or via phone).
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
  • Answer phones (both external and internal); assure prompt, courteous service at all times.
  • Practice urgency with consideration to the patient's time, as well as the doctor's time and schedule.
  • Double-check insurance authorizations to ensure completion and build accurate flow sheets.
  • Check out patients and collect correct payments according to procedures.
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
  • Complete daily reconciliations, close the day, and count down the cash drawer.
  • Comply with all company policies and procedures, including HIPAA.
  • Perform general office duties and cleaning as assigned by the manager.

Requirements

  • Minimum of 1 year in a position interacting with customers/patients or equivalent combination of education and experience.
  • Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred.
  • Favorable result on background check as required by state.
  • Must be able to provide proof of identity and right to work in the United States.
  • High School Diploma or GED required.
  • Proficient in Microsoft Excel, Word, PowerPoint, and Outlook.

Physical Requirements

  • Frequent walking (75%), sitting (50%), and standing (50%).
  • Regular bending, stooping, and reaching (25–50%).
  • Ability to lift, carry, push, and pull items up to 25 lbs.
  • Strong fine motor skills and full use of hands for constant grasping, writing/typing, and use of technology.
  • Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—required 100% of the time.
  • Occasional driving or climbing may be necessary.

Schedule

Full-time. Our offices are open Monday–Friday 8 am–7 pm, Saturday 8 am–1 pm. You may need to work slightly earlier or later as needed. You will not work all of these hours, but must have open availability to work any shift within these hours.
