Responsibilities
- Welcome and greet patients and visitors, in person or on the telephone.
- Answer or refer to inquiries.
- Aid patients with the check-in process.
- Optimize patients' satisfaction, provider time, and treatment room utilization by scheduling appointments.
- Notify providers of patient arrivals; review service delivery compared to schedule; remind providers of service delays.
- Schedule appointments for new and recurring patients based on staff and provider availability.
- Maintain business office inventory and equipment by checking stock, anticipating needed supplies, placing and expediting orders, verifying receipt of supplies, scheduling equipment service and repairs.
- Protect patients' rights by maintaining confidentiality of personal and financial information.
- Contribute to team effort by accomplishing related results as needed.
- Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services.
- Maintain a welcoming reception area that is clean and comfortable.
- Act as a role model in demonstrating the core values in customer service delivery.
- Provide timely and thorough follow-up with, internal and external customers.
- Appropriately escalate difficult issues up the chain of command.
- Serve on committees, work groups, and/or process improvement teams, as assigned, to assist in improving quality/customer satisfaction.
- Recognize and alert appropriate supervisor of trends within their scope of responsibility that fall outside of quality parameters.
- Perform self-quality monitoring in order to develop and execute plans to meet established goals.
- Provide ongoing feedback to help optimize quality performance.
- Collaborate with others and cross-departmentally to improve or streamline procedures.
- Develop new or improve current internal processes to improve quality.
- Train new employees as assigned.
- High school diploma/GED required (Associate degree preferred).
- 1+ years of experience working in medical office or in administrative/clerical position.
- Previous experience and/or ability to work in an electronic health record.
- Familiarity with eClinicalWorks a plus.
- Ability to handle a fast-paced environment and prioritize tasks based on importance.
- Excellent communication and problem solving skills.
- Working knowledge of computers and software including but not limited to Microsoft Office products.
- Proficient typing skills.
- Demonstrated organizational skills, problem-solving, analytical skills and detail oriented.
- Demonstrated ability to work independently, prioritize workloads, multi-task and manage priorities in order to meet deadlines.
- Ability to maintain the confidentiality of protected health information in compliance with HIPAA regulations.
