Responsibilities

  • Supervise and coordinate the activities of the reception team to ensure efficient patient check-in and check-out processes.
  • Manage appointment scheduling, patient registration, and verification of insurance information with accuracy and attention to detail.
  • Serve as the primary point of contact for patient inquiries, addressing concerns promptly and professionally.
  • Train, mentor, and evaluate reception staff to maintain high standards of customer service and compliance with healthcare regulations.
  • Collaborate with medical and administrative staff to streamline workflows and improve patient experience.
  • Maintain patient confidentiality and ensure compliance with HIPAA and other relevant healthcare laws.
  • Prepare and maintain daily reports related to patient flow, appointment statistics, and administrative issues.
  • Assist in resolving billing and insurance issues in coordination with the billing department.

  • Strong organizational and multitasking skills to manage patient flow and administrative duties efficiently.
  • Effective communication skills for interacting with patients, staff, and healthcare providers, ensuring clarity and professionalism.
  • Leadership and team management skills to train, motivate, and support the reception team.
  • Proficiency with EHR systems and office software for accurate data entry, scheduling, and reporting.
  • Problem-solving skills to address patient concerns, resolve scheduling conflicts, and coordinate with other departments.

Requirements

  • High school diploma or equivalent.
  • Two (2) years of experience in a health care and/or insurance setting preferred.
  • Fluent in English; additional fluency in other languages is valued.
  • Knowledge of medical terminology preferred.
