About the role

As the “face of the office,” this role is extremely important to provide the highest level of customer service and represent the office values and culture.

Responsibilities

  • Greet patients and other customers in a polite, prompt, helpful manner
  • Provide any necessary instructions or directions
  • Inform physician or office staff of patient or customer’s arrival
  • Verify and update patient demographic information with each visit
  • Collect physician office co-payments and other patient balances
  • Provide patient with any necessary forms needing completion and obtain signatures as necessary
  • Use computer system to generate encounter forms needed for documenting patient visit charges
  • Answer phone in a pleasant manner and deal with customers’ needs expeditiously; take and deliver telephone messages as necessary
  • Review patient schedule and make daily patient appointment reminder telephone calls as necessary
  • Use computer systems to schedule patient follow-up appointments
  • Schedule patient referrals to specialists for diagnostic testing or evaluation
  • Use computer systems to post patient visit charges as well as hospital visit and consult charges
  • Identify appropriate diagnostic and procedure codes and post to confirm appropriate posting to the electronic health record and practice management systems
  • Record and/or route laboratory, radiology, and other information in electronic health record
  • Maintain clean, orderly waiting area
  • Participate in health staff meetings and other quality improvement meetings as needed
  • Perform other duties as assigned

Requirements

  • High School Diploma or GED
  • Minimum of 1 year of experience in a customer service setting, preferably six months receptionist experience in a health care setting
  • Experience with computer systems and office equipment

Qualifications

Preferred

  • Medical Assisting Training Program completion
  • Certified Medical Assistant designation

Knowledge

  • Reception tasks, office policies/procedures, and paperwork
  • Use of office equipment including computer, phone, copier, and fax machines
  • Customer service concepts and techniques

Skills

  • Skill in using office systems and equipment satisfactorily and handling paperwork/filing adequately
  • Skill in customer service principles by creating a warm and inviting atmosphere

Abilities

  • Communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff, and other customers
  • Organize and prioritize tasks effectively
  • Read, understand, and follow oral and written instructions

Physical Demands

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary Work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Work Environment

Office environment with occasional unpleasant and/or stressful work-related situations.

Schedule

Office business hours.
