Responsibilities

  • Greet patients in a polite, prompt, and helpful manner.
  • Distribute and collect patient forms via clipboard or electronic devices.
  • Update and maintain accurate patient data, insurance information, and collect co-pays or outstanding balances.
  • Answer phones professionally, screen calls, take messages, and address customer needs expeditiously.
  • Scan, identify, process, and file documents using copy machines or desktop scanners.
  • Establish and maintain effective working relationships with patients, employees, and the public.
  • Complete necessary paperwork such as encounter forms.
  • Use computer systems to generate billing information.
  • Maintain a clean, orderly waiting area, including beverage areas and reading materials.
  • Assist with scheduling testing/procedures and patient appointments with referred physicians.
  • Book, coordinate, reschedule appointments, and relay messages to staff.
  • Maintain and update physician schedules to ensure accurate patient scheduling and appointment confirmations.
  • Oversee the reception area, coordinate patient movement, and report problems or irregularities.
  • Attend required meetings and assist in the care and maintenance of office equipment.

Requirements

  • High school graduation or GED.
  • Typing ability and word processing/computer skills.
  • Minimum of one year of experience in a customer service setting.
  • Preferably six months of receptionist experience in a healthcare setting.
  • Experience with office equipment.
  • Knowledge of medical terminology is desirable.
  • Knowledge of reception tasks, clinic policies/procedures, and paperwork.
  • Ability to communicate clearly in person and maintain cooperative relationships with patients, families, physicians, staff, and other customers.
  • Ability to organize, prioritize tasks, and multitask effectively.
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.

Skills

  • Proficiency in using office equipment including phones and computers.
  • Customer service skills to create a pleasant waiting room atmosphere.
  • Ability to use a multi-line telephone system in a pleasant and helpful manner.
  • Skills in handling paperwork and filing adequately.
