Responsibilities
- Welcome patients and visitors with a courteous, detail-oriented approach and assist them throughout the check-in process.
- Answer incoming calls, direct inquiries to the appropriate staff members, and relay messages clearly and promptly.
- Cook up patient appointments based on provider instructions and share pre-visit information, including required forms and documentation.
- Review and confirm demographic and insurance details to help maintain accurate registration and billing records.
- Keep patient charts and electronic records current by updating information and preparing files ahead of scheduled visits.
- Gather insurance cards, authorizations, and other required documents to support claims processing and office billing activities.
- Receive payments, post transactions accurately, and help patients understand available payment options or arrangements.
- Track financial activity in office logs and follow up with patients or external contacts when additional information is needed.
- Maintain inventory for front office materials and place supply orders to ensure the practice remains well stocked.
- Support additional administrative duties as needed to keep daily operations organized and efficient.
Requirements
- Previous experience in a medical reception, medical front office, or similar patient-facing administrative role.
- Working knowledge of appointment scheduling, patient check-in procedures, and general receptionist responsibilities.
- Familiarity with basic medical terminology and standard front desk practices in a healthcare environment.
- Experience verifying medical insurance information and collecting documentation needed for billing.
- Ability to use electronic medical record systems and maintain accurate patient information.
- Strong communication and interpersonal skills with a detail-oriented, service-oriented demeanor.
- Solid organizational skills with attention to detail when handling records, payments, and multiple priorities.
Qualifications
- High school diploma or equivalent.
- Basic computer skills, including proficiency with Microsoft Office applications.
- Knowledge of medical terminology and healthcare regulations.
