Summary

A Front Office Specialist is trained to act as the first point of contact, setting the tone for a world-class Total Patient Experience. This employee will also perform the necessary administrative responsibilities needed to create a smooth check-in/out experience for patients.

Essential Duties and Responsibilities

  • Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support.
  • Provide exceptional customer service during every patient encounter (in person or via phone).
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
  • Answer phones (both external and internal); assure prompt, courteous service at all times.
  • Practice urgency at all times with consideration to the patient’s time, as well as doctor’s time and schedule.
  • Double check insurance authorizations to ensure completion and build accurate flow sheets.
  • Check out patients and collect correct payments according to procedures.
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
  • Complete daily reconciliations / close day / countdown cash drawer.
  • Comply with all company policies and procedures, including HIPAA.
  • General office duties and cleaning to be assigned by the manager.

Qualifications

  • Previous medical office experience preferred; previous optometry and/or ophthalmology experience strongly preferred.
  • Minimum of 1 year in a position interacting with customers/patients or the equivalent combination of education and experience.
  • Favorable result on background check as required by state.
  • Must be able to provide proof of identity and right to work in the United States.

Education and/or Experience

A high school diploma or GED is required.

Licenses and Credentials

No licenses or credentials are required for this position.

Systems and Technology

  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook.

Physical Requirements

  • This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%).
  • Employees must be able to lift, carry, push, and pull items up to 25 lbs.
  • Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology.
  • Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus—is required 100% of the time.
  • Occasional driving or climbing may also be necessary.
