Position Summary

The Medical Office Specialist is responsible for front desk coverage, including patient registration, check-in, co-pay collection, appointment scheduling, patient billing, and scanning records into the EMR. The role requires knowledge of medical terminology, strong organizational and communication skills, adaptability to flexible schedules and frequent interruptions, and a professional demeanor. The ideal candidate will maintain confidentiality, demonstrate reliability, tact, and discretion, and possess problem-solving and decision-making abilities.

Responsibilities

  • Fulfill patient care responsibilities, such as checking schedules, organizing patient flow, relaying instructions, answering calls, and providing information.
  • Perform clerical duties, including sending/receiving medical records, obtaining lab/x-ray reports, completing forms, scheduling appointments, verifying insurance coverage, and managing patient charts.
  • Handle organizational responsibilities, such as promoting patient rights, responding to emergency codes, sharing patient/staff concerns with supervisors, scheduling procedures, and compiling end-of-day deposits and reports.
  • Book, coordinate, and reschedule patient appointments; greet and register patients; verify and update patient information; collect co-pays; and provide necessary forms.
  • Maintain and update physician schedules, answer and screen phone calls, take messages, and provide appointment information.
  • Assemble new patient charts, update patient profiles, and perform follow-ups on appointments.
  • Act as a receptionist as needed, travel between facilities, and route phone calls to appropriate parties while ensuring patients are informed of voicemail transfers.
  • Perform other duties as assigned, including taking accurate and complete written messages.

Requirements

  • Minimum of one year of medical experience preferred.
  • Reliability, responsibility, and dependability in fulfilling obligations.
  • Attention to detail and thoroughness in completing tasks.
  • Knowledge of administrative and clerical procedures, office systems, and medical terminology.
  • Familiarity with electronic equipment, computer hardware/software, and applications.
  • Understanding of customer service principles, including needs assessment and quality standards.

Qualifications

  • High school diploma or equivalent required.
  • Completion of a Medical Office Assistant/Specialist or Medical Assistant program preferred.
  • Travel requirements: 0-10%.
