About the role
Seeking a Medical Office Coordinator for our practice who provides administrative expertise to ensure all patients receive high quality, efficient care. This is a full-time position (Monday - Friday, days) with no nights, no on-call, no weekends, and no holidays.
Responsibilities
- Direct front office functions and coordinate workflow to promote patient access and efficiency, ensuring personalized, high-quality care and patient experience.
- Adhere to the Code of Conduct and Mission and Values statements while fostering an engaged culture of diversity and inclusion.
- Ensure efficiency and quality of patient experience for online scheduling, inbound phone calls, in-person encounters, and registration processes, including collection of co-pays and deductibles.
- Assist in hiring, selecting, onboarding, and orienting clerical and clinical (non-provider) practice staff in partnership with leadership.
- Communicate regularly with non-provider staff individually and in meetings, encouraging an inclusive environment where all team members’ voices are welcomed.
- Oversee processes for preparing patients for examination and treatment, and manage inbound and outbound patient referrals.
- Manage staff scheduling to meet daily volume demands while maintaining care standards and operational metrics.
- Provide frontline staffing support (e.g., answering phones, scheduling, rooming patients) to maintain practice operations.
- Maintain the practice’s supply inventory, physical facilities, and core non-provider staffing in functional operating condition.
- Assist in maintaining patient files, records, and other information, and compile technical and statistical data for reports.
- Handle patient complaints appropriately and timely, ensuring findings are shared with relevant leadership.
- Participate in professional development activities, including manager development curricula, SPARK pathways, and other targeted learning opportunities.
- Maintain strict confidentiality, adhering to organizational standards for ethics, compliance, and patient privacy.
- Perform other duties as required and adhere to all Physician Services policies and procedures.
Requirements
- High school diploma or GED preferred.
- Medical Office Specialist or related practice operations certificate preferred.
- Two or more years of medical office experience required.
- RMA, CMA, or LPN license is beneficial.
- CPR Certification is preferred.
