The Opportunity

We’re looking for an Office Coordinator (internally known as Practice Coordinator) to join us in transforming the primary care experience. As a Practice Coordinator at One Medical, you will be the onsite lead and support your practice team members in delivering the highest quality and best experience to our patients. You will champion best practices, ensure operational excellence, and manage daily operations including scheduling, inventory, and facilities. The Practice Coordinator is the subject matter expert on workflows and processes and serves as the main point of contact for daily clinical operational oversight. You will motivate, support, and provide direction to your team under the guidance of your Operations Manager.

Responsibilities

  • Ensure operational readiness of the practice through regular team check-ins, staffing reviews, task queue monitoring, and adherence to standard work.
  • Provide team support and leadership through training, coaching, mentoring, and recognition.
  • Drive performance improvement through active daily management, including office huddle facilitation and monitoring performance metrics.
  • Perform inventory management, including ordering supplies, tracking expirations, minimizing waste, and completing counts.
  • Support the financial health of the practice through office budget review and managing copay and revenue cycle.
  • Monitor and respond to Net Promoter Score (NPS) feedback and service recovery cases, escalating as needed.
  • Partner with Clinical Leadership and the Operations Manager to support quality health outcomes, patient safety, regulatory compliance, and population health initiatives.
  • Use C-I-CARE (a communication framework) in all patient interactions to ensure a positive in-office experience through intake, scheduling, and billing.
  • Handle front-of-house duties including check-in/check-out, insurance verification, paperwork, test preparation, and office upkeep.
  • Support facility, security, and IT requests as encountered.
  • Perform clinical duties such as venipuncture, non-blood specimen collection, EKGs/ECGs, vitals, ear lavages, vaccines, PPD tests, and swabs.

Requirements

  • At least 1 year of experience in a supervisory or lead role in high-touch customer service or patient-facing healthcare.
  • Graduated from a postsecondary Medical Assistant program accredited by CAAHEP, ABHES, or another recognized accrediting organization.
  • An active Medical Assistant certification from NHA, AAMA, NCCT, AMCA, NAHP, NCMA, AMT, or another recognized certifying body.
  • Proven ability to foster strong, collaborative team dynamics and a supportive, engaged team culture.
  • Experience working on collaborative, diverse, and feedback-driven multidisciplinary teams.
  • Strong written and verbal communication skills.
  • Experience in healthcare with a solid understanding of billing and insurance is preferred.

Physical Demands

Mostly sedentary work duties require exerting up to ten pounds of force occasionally and/or small amounts of force frequently. Sedentary work typically involves sitting most of the time but may involve walking or standing for brief periods.

Pay

The range for this role is $29.00 to $31.00 per hour based on a standard full-time schedule.

Schedule

This is a full-time role, working 40 hours per week, based in-person at our Jersey City, NJ office. Shifts are generally 8 hours, Monday through Friday, between 7:30 AM and 6:00 PM.
