Key Responsibilities
- Coordinate daily front-office and patient-access workflow
- Maintain appointment schedules, patient volume, office coverage, and outstanding administrative tasks
- Support front-desk, scheduling, registration, and referral staff
- Help train new employees on systems, procedures, and patient-service expectations
- Review patient registration and insurance information for accuracy
- Resolve complex scheduling, referral, authorization, and documentation issues
- Cover screening, diagnostic, follow-up, and procedure appointments
- Monitor patient messages, work queues, referral requests, and unresolved tasks
- Track missing physician orders, records, referrals, and required documentation
- Avoid insurance verification and prior authorization follow-up
- Communicate with physician offices, insurance companies, and outside providers
- Address escalated patient concerns professionally and compassionately
- Identify workflow delays and recommend practical process improvements
- Support office leadership with reports, projects, and administrative initiatives
- Provide front-desk or scheduling coverage when needed
Qualifications
- Four or more years of medical front-office, patient-access, scheduling, or healthcare administrative experience
- Previous experience as a senior coordinator, lead receptionist, lead scheduler, trainer, or administrative resource preferred
- Experience in women’s health, diagnostic imaging, radiology, OB/GYN, or a high-volume specialty practice is strongly preferred
- Strong knowledge of medical scheduling, registration, referrals, insurance verification, and prior authorizations
- Experience using electronic medical records and practice-management systems
- Ability to manage competing priorities and resolve administrative issues
- Experience handling escalated patient concerns
- Strong leadership, organization, and problem-solving skills
- Professional verbal and written communication
- Willingness to remain hands-on and assist wherever needed
- Bilingual English and Spanish is strongly preferred
