Medical Office Coordinator Hialeah, FL 33012 | $20.00–$24.00 per hour | OnsitePosition OverviewA growing women’s healthcare and diagnostic imaging practice is seeking an experienced Senior Medical Office Coordinator to support daily office operations, guide administrative staff, and help maintain an organized and efficient patient experience. This is a hands-on senior-level position for someone with strong experience in medical scheduling, patient registration, insurance verification, referrals, authorizations, medical records, and front-office workflow. The Senior Medical Office Coordinator will remain actively involved in daily administrative responsibilities while serving as a resource for front-desk, scheduling, and patient-access team members.Key ResponsibilitiesCoordinate daily front-office and patient-access workflowMonitor appointment schedules, patient volume, office coverage, and outstanding administrative tasksSupport front-desk, scheduling, registration, and referral staffHelp train new employees on systems, procedures, and patient-service expectationsReview patient registration and insurance information for accuracyResolve complex scheduling, referral, authorization, and documentation issuesCoordinate screening, diagnostic, follow-up, and procedure appointmentsMonitor patient messages, work queues, referral requests, and unresolved tasksTrack missing physician orders, records, referrals, and required documentationAssist with insurance verification and prior authorization follow-upCommunicate with physician offices, insurance companies, and outside providersAddress escalated patient concerns professionally and compassionatelyHelp identify workflow delays and recommend practical process improvementsSupport office leadership with reports, projects, and administrative initiativesProvide front-desk or scheduling coverage when neededMaintain accurate records and follow HIPAA and practice policiesPromote a professional, organized, and patient-focused office environmentQualificationsFour or more years of medical front-office, patient-access, scheduling, or healthcare administrative experiencePrevious experience as a senior coordinator, lead receptionist, lead scheduler, trainer, or administrative resource preferredExperience in women’s health, diagnostic imaging, radiology, OB/GYN, or a high-volume specialty practice is strongly preferredStrong knowledge of medical scheduling, registration, referrals, insurance verification, and prior authorizationsExperience using electronic medical records and practice-management systemsAbility to manage competing priorities and resolve administrative issuesExperience handling escalated patient concernsStrong leadership, organization, and problem-solving skillsProfessional verbal and written communicationWillingness to remain hands-on and assist wherever neededBilingual English and Spanish is strongly preferredScheduleFull-time, Monday through FridayEight-hour shifts within the practice’s operating hoursOccasional Saturday coverage based on staffing needs MOHR Talent is an equal-opportunity employer and complies with all applicable federal, state, and local nondiscrimination laws.
