About the role

This role serves as the primary front desk receptionist for a busy Ear, Nose & Throat (ENT) practice, providing a welcoming first point of contact for patients while supporting all aspects of front office operations.

Responsibilities

  • Greet and welcome patients, visitors, and vendors in a courteous, professional, and patient-focused manner.
  • Check patients in for appointments and verify demographic, insurance, and registration information accurately.
  • Schedule and coordinate follow-up appointments and other patient visits to ensure efficient patient flow.
  • Answer incoming phone calls, respond to inquiries, and route calls to the appropriate staff or department.
  • Maintain accurate and up-to-date patient records within the electronic medical record (EMR) system.
  • Collect copays and process front-desk related paperwork, ensuring accuracy and proper documentation.
  • Collaborate closely with providers, clinical staff, and fellow front desk team members to support smooth daily operations.
  • Aid with general administrative and office support duties, including clerical tasks, filing, and data entry, as needed.
  • Provide an outstanding, compassionate patient experience while maintaining confidentiality, professionalism, and respect.
  • Manage multiple front office priorities simultaneously while maintaining accuracy and a calm, professional demeanor.

Essential Skills

  • High school diploma or equivalent.
  • At least one year of experience in a medical office, ambulatory care setting, or similar healthcare front desk environment.
  • Demonstrated experience providing administrative support and front desk services in a busy setting.
  • Strong customer service skills with the ability to interact professionally and compassionately with patients, families, and staff.
  • Clear and effective verbal and written communication skills.
  • Ability to multitask and work efficiently in a fast-paced front office environment.
  • Proficiency with Microsoft Office and general computer systems.
  • Experience working with electronic health or medical record systems.
  • Strong attention to detail and excellent organizational abilities.
  • Ability to manage multiple priorities while maintaining accuracy and timeliness.
  • Reliable transportation and consistent ability to be on-site during scheduled hours.
  • Professional demeanor and positive attitude in all patient and team interactions.

Additional Skills & Qualifications

  • Experience with Epic electronic medical record (EMR) systems.
  • Experience in an Ear, Nose & Throat (ENT) practice, specialty practice, or outpatient healthcare environment.
  • Knowledge of medical terminology and healthcare registration processes.
  • Previous experience in patient care support or clerical roles in healthcare.
  • Demonstrated ability to work collaboratively as part of a multidisciplinary team.
  • Strong interpersonal and patient-service skills, with a focus on compassion and respect.
  • Interest in career growth within a large, established health system.
  • Comfort working in a collaborative, community-based outpatient care model.
  • Ability to adapt to new processes, technologies, and workflows as needed.

Work Environment

The position is based in a busy outpatient Ear, Nose & Throat (ENT) practice within a larger medical group, providing a collaborative, community-based clinical environment. The standard schedule is Monday through Friday, 8:00 AM to 4:30 PM, offering predictable daytime hours that support work-life balance. You will work on-site at the front desk, using electronic medical record systems (including Epic, if experienced), Microsoft Office, and standard office equipment to complete daily tasks. The role involves frequent interaction with patients, physicians, advanced practice providers, and support staff, and requires a professional appearance and demeanor appropriate for a clinical setting. Pay And Benefits

The pay range for this position is $17.00 - $23.00/hr.
