About the role

Penn Psychiatric Center is seeking an energetic, compassionate, and highly organized Office Administrator to join our growing outpatient behavioral health practice in Phoenixville, Pennsylvania. This is a full-time, in-person position designed for someone who enjoys working with people, thrives in a fast-paced healthcare environment, and is looking for a long-term career with opportunities for advancement.

Primary Responsibilities

  • Welcome patients, visitors, and providers with professionalism and compassion
  • Answer multi-line telephone system
  • Schedule appointments and manage provider calendars
  • Verify insurance eligibility and obtain authorizations
  • Collect co-payments and patient balances
  • Collapse patient records within the electronic medical record (eClinicalWorks experience preferred)
  • Respond promptly to patient questions and requests
  • Deliver a concierge-level patient experience

Office Administration

  • Coordinate daily office operations and workflow
  • Maintain organized, efficient, and professional workspaces
  • Assist with provider scheduling and office coordination
  • Monitor supplies and order office inventory
  • Affiliate with reporting, spreadsheets, and administrative projects
  • Collapse communication among providers, patients and leadership
  • Identify workflow improvements and assist with implementing new processes
  • Support practice growth initiatives and special projects

Requirements

  • Medical office experience or Medical Assistant education, certification, or equivalent healthcare experience
  • Minimum three years of customer service or healthcare office experience preferred
  • Outstanding communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Excellent attention to detail
  • Professional appearance and demeanor
  • Dependable attendance and punctuality
  • Ability to work independently while collaborating effectively with a team
  • Proficiency with Microsoft Office and general computer systems

Preferred Experience

  • In behavioral health, psychiatry, primary care, or another outpatient medical practice
  • Experience with eClinicalWorks (eCW) or another electronic medical record system
  • Insurance verification and prior authorization experience
  • Medical terminology knowledge
  • Supervisory or leadership experience
  • Associate's or Bachelor's degree in Healthcare Administration, Business, or a related field
