Medical Insurance Billing & Patient Communications VA (Optometry Practice – USA)

About the role

We are a high-performing, well-established optometric practice in the United States seeking a senior-level Virtual Assistant to take ownership of insurance billing, reconciliation, data entry, and patient communications.

Core Responsibilities

• End-to-end insurance billing and follow-up
• Reconciliation of EOBs, insurance payments, and patient balances
• Accurate and efficient data entry
• Patient communications via phone, email, and text
• Clear explanation of insurance benefits and balances
• Coordination with local office staff to resolve billing discrepancies
• Meticulous documentation and record keeping
• Delivery of consistently white-glove customer service

Requirements

• Clear, native or near-native English pronunciation (professional phone presence required)
• Strong written English
• Proven medical insurance billing experience
• Exceptional attention to detail and accuracy
• Ability to follow SOPs and meet deadlines without reminders
• Fast, reliable internet connection with a backup internet source
• Dual-monitor (dual screen) workstation
• Backup power supply (UPS or generator) to prevent downtime
• Quiet, professional home office environment
• Strong work ethic, accountability, and integrity

Non-negotiable Requirements

• Must only work for us during our hours (Tuesday–Friday: 8:25 AM – 5:30 PM, Saturday: 8:00 AM – 4:00 PM)

STRONG PREFERENCE (MAJOR ADVANTAGE)

• Optometric or ophthalmology billing experience
• Hands-on Experience With VSP EyeMed Medicare Cigna Aetna Anthem Blue Cross
• Prior experience working with U.S.-based medical practices
