Medical Education Programs Coordinator, Cardiology
About the Role
The Department of Medicine seeks a Medical Education Programs Coordinator with a focus on Cardiology programs. This role involves planning, preparation, and implementation of programs, daily operations, and educational activities for small to medium-sized programs. Coordinators operate with additional authority, independence, and complexity, performing duties beyond basic administration, including material development, calendar coordination, accounting processes, participant interaction, and compliance with national standards.
Responsibilities
- Assume responsibility for the daily administrative operations and coordination of the Department of Medicine's (DOM) residency/fellowship programs.
- Respond to requests for assistance and information from program directors, residents and fellows, administration, Graduate Medical Education Office, or outside agencies.
- Ensure annual goals and objectives are tracked and achieved, including meeting scheduling deadlines, monitoring and logging duty hours, coordinating curriculum review, and developing and assigning schedules, rotations, and evaluations in New Innovations.
- Develop and facilitate orientation, workshops, and graduate medical education activities. Schedule space and organize necessary materials for these events and resources. Help promote events.
- Assist in the pre-screening, interviewing, ranking, and selection of program trainees. Mentor program trainees, tracking, and communicating progress.
- Prepare and distribute instructional materials and course information.
- Ensure compliance with the Accreditation Council for Graduate Medical Education (ACGME), UVA Health System's Graduate Medical Education Office, and Continuing Medical Education (CME) policies and procedures.
- Submit updates to professional organization databases.
- Create and reconcile program budgets, prioritizing activities and expenditures based on statistical analysis.
- Function as an integral player on the DOM education team, providing cross-coverage and mentoring as needed.
- Participate in and contribute to residency and fellowship special projects and events, such as recruitment and orientation, year-end graduation receptions, Grand Rounds, retreats, Scholars/Research Day, Department committees/task forces, and in-service training exams.
- Establish and maintain relationships with residency and fellowship coordinator counterparts in other UVA departments and external institutions.
- Represent the Department at regional, state, and national meetings.
- Perform other assigned duties as needed.
Requirements
- Education: High school diploma or GED (required). Bachelor's degree (preferred).
- Experience: 3+ years of relevant professional experience (required). Previous experience with graduate medical education (preferred).
This is primarily a sedentary role involving extensive desktop computer use. Occasional travel to attend meetings and programs is required.

Schedule
This position is based in Charlottesville, VA, and is eligible for a hybrid schedule, in accordance with UVA's remote work guidelines.
