About the role
Monday – Friday in the office opportunity. Reporting into the Residency Manager. Will be part of a 3‑Coordinator team supporting 16 faculty and 24 residents. Candidate able to work independently / self‑starter / attention to detail very important. Strong computer skills. Knowledge with Microsoft Office Applications – Google Sheets and Excel – experience required. Strong customer service skills.
Responsibilities
- Coordinates administrative functions to support Medical Education and Residency needs to comply with accrediting and/or hospital regulatory requirements.
- Develops, maintains and coordinates Family Medicine curriculum rotation schedules for residents in collaboration with teaching faculty and other outside residency stakeholders to meet ACGME requirements.
- Supports development and implementation of new systems and processes to support the educational needs of the programs and trainees.
- Tracks and manages documentation within all systems for trainees to ensure compliance with governing accrediting organization(s) requirements.
- Develops and maintains all scheduling templates and the scheduling process for teaching faculty, residents, advanced providers and preceptors, which may include coordinating and maintaining call schedules.
- Provides support for visiting medical education trainees, including rotations for visiting medical students and visiting residents, including onboarding, orientation and housing coordination.
- Provides program level administrative support for trainee onboarding/promotion/graduation, examinations, credentialing and orientation.
- Provides resident and/or trainee recruitment coordination as it pertains to applicant screening and communication, materials, website content, interview scheduling and collaboration with teaching faculty and residents.
- Provides development and implementation of resident/trainee evaluations, data management and report generation in the electronic management suite and participates in accreditation or program required committees.
- Coordinates payments and tracks expenditures for programs and events.
- Works independently and within a team on special, related projects.
- Performs other duties as assigned.
Requirements
- Three years experience in a professional office or academic setting.
- Strong analytical skills.
- Proficient in Microsoft Office applications – Excel and Google Sheets.
