Medical Education Coordinator
Department of Psychiatry and Behavioral Neuroscience at the University of Chicago has a longstanding commitment to excellence in clinical care, education, and research. Research is broad and multidisciplinary, spanning clinical, translational, and neuroscience areas, including anxiety and mood disorders, autism spectrum disorders, bipolar disorder, schizophrenia, dementia, eating and weight disorders, substance use disorders, and impulse control disorders. Key research programs include the Center for Psychiatric Genetics, Human Behavioral Pharmacology Laboratory, Addictive, Compulsive and Impulsive Disorders Research Program, and Eating Disorders Research Program. Faculty also participate in NIH-funded T32 training programs and utilize approaches such as neuroimaging, genetics, behavioral pharmacology, and clinical investigation.
About the role
The Medical Education Coordinator for the new Medicine Psychiatry Program at UChicago Medicine will oversee operational and financial management of the training program under the direction of the Program Directors in Psychiatry and Medicine. This role requires a comprehensive understanding of hospital policies and national accreditation requirements, along with strong initiative, independent judgment, and team-building skills. The coordinator will serve as a liaison across departments, facilitating communication, coordination, and alignment among all parties involved.
Responsibilities
- Meets regularly with the Program Director to provide guidance on program building and significant issues.
- Interprets ACGME, national, and state accrediting policies to ensure compliance.
- Administers Clinical Competency Committee, Program Evaluation Committee, Residency Selection Committee, and faculty meetings by preparing agendas and minutes.
- Provides administrative supervision and support to residents, acting as a liaison between residents and administration to ensure ACGME compliance.
- Interacts regularly with both department administrations and GME.
- Initiates and maintains Program Letters of Agreement and necessary documents for outside rotations.
- Orchestrates the recruitment process, including managing information from ERAS and coordinating interview day events.
- Performs all Match responsibilities, including corresponding with applicants, candidates, and newly matched interns.
- Coordinates orientation for new residents in conjunction with the GME office.
- Manages national database systems for resident information, including tracking evaluations, procedure logs, duty hours, and resident files.
- Verifies trainee certification for temporary licenses, tracks and processes initial paperwork for visas.
- Attends mandatory ACGME residency coordinator meetings.
- Distributes monthly resident schedules to hospital staff as needed.
- Receives, sorts, and responds to incoming program correspondence.
- Facilitates and oversees petty cash payments under $100 and major purchases over $100.
- Assists in ACGME Self Study, Site Visit, and CLER visit preparations.
- Manages all aspects of Medhub for program and resident compliance, including rotation scheduling, duty hours, time off, and evaluations.
- Plans annual department events, such as graduation, outings, and dinners.
- Informs residents of policy and procedure changes with assistance from GME.
- Updates annual Residency Brochures and program websites.
- Participates in day-to-day operations of accredited and non-accredited residency and fellowship programs, ensuring compliance with ACGME and RRC.
- Coordinates and interprets training program requirements, including accreditation, duty schedules, evaluation processes, recruitment, Match, orientation, and employee relations.
- Reports and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, and credentialing of trainees.
- Performs other related work as needed.
Requirements
- Minimum requirements include a college or university degree in a related field.
- 2-5 years of work experience in a related discipline.
Qualifications
- Bachelor’s degree (preferred).
- Previous experience within an Academic Medical Center environment.
- Previous experience in graduate medical education.
- Proficiency with Microsoft Office applications, particularly Excel and Outlook.
- Proficiency with Medhub.

Pay
Salary range: $60,000.00 - $90,000.00.
