Key Responsibilities
- Administer administrative support tasks such as greeting and assisting patients, visitors, and staff.
- Answer phone calls, schedule appointments, and manage the office calendar.
- Handle patient inquiries, provide information about services, and facilitate communication between patients and clinicians.
- Maintain patient records, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
- Verify patient insurance information and obtain necessary authorizations for services.
- Process insurance claims and follow up on outstanding claims to ensure timely payment.
- Handle patient billing, collect payments, and manage accounts receivable.
- Order and manage office supplies, ensuring the office is well-stocked and organized.
- Cook up maintenance and repairs for office equipment and facilities.
- Develop and implement office policies and procedures to enhance efficiency and productivity.
- Assist with patient check-in and check-out processes, ensuring a smooth and efficient flow.
- Schedule and confirm patient appointments, including follow-up visits and referrals.
- Cook with clinicians to ensure proper scheduling and patient care.
- Maintain accurate and up-to-date patient information in the practice management system.
- Generate reports and provide data analysis to support practice operations and decision-making.
- Ensure compliance with all relevant regulations, including HIPAA and OSHA standards.
- Participate in quality improvement initiatives and support accreditation processes.
Qualifications
- A high school diploma or equivalent; an associate’s or bachelor’s degree in healthcare administration or a related field preferred.
- A minimum of 2 years of experience in a medical office or healthcare setting, preferably in mental health.
- A strong knowledge of medical billing, insurance procedures, and electronic health records (EHR) systems.
- Excellent organizational, multitasking, and time management skills.
- Strong communication and interpersonal skills, with the ability to interact professionally with patients, staff, and external partners.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Familiarity with HIPAA regulations and a commitment to maintaining patient confidentiality.
- A certification as a Medical Assistant or Medical Office Assistant.
Working Conditions
- The position is based in an office environment within a mental health practice.
- Standard working hours are part-time, with occasional requirements for additional hours or weekends as needed.
