Key Responsibilities

  • Assist providers with patient examinations, treatments, and telemedicine visits.
  • Obtain, document, and enter patient clinical data into the electronic medical record (EMR).
  • Perform clinical procedures including venipuncture, specimen preparation, EKGs, urine dipstick testing, pulmonary function testing, vision screening, and body composition analysis.
  • Administer vaccines and injections as ordered by providers (e.g., influenza immunizations).
  • Record vital signs and support providers during examinations.
  • Serve as a medical chaperone when required.
  • Conduct blood pressure screenings onsite and at offsite events.
  • Maintain clinical equipment logs (AEDs, oxygen, etc.) and ensure compliance with temperature monitoring requirements.
  • Ensure exam rooms are clean, organized, and adequately stocked.
  • Manage medical supply inventory in accordance with policies.
  • Respond to medical emergencies using BLS/CPR protocols and activate emergency response procedures.
  • Perform ergonomic assessments and document findings per organizational standards.
  • Serve as a resource for equipment maintenance, calibration, and vendor coordination across sites.

Front Office & Administrative Support

  • Greet employees, patients, and visitors in a professional and courteous manner.
  • Manage front desk operations, ensuring secure and authorized access to the facility.
  • Schedule appointments and coordinate provider calendars and clinic activities.
  • Answer phones, triage inquiries, and route urgent matters appropriately.
  • Prepare and distribute program-related documentation (e.g., health screenings, immunization campaigns).
  • Maintain and update patient/employee medical records.
  • Clock in/out employees and manage payroll processing.
  • Clock in/out patients and manage appointment scheduling.
  • Clock in/out vendors and manage contract management.
  • Clock in/out contractors and manage project management.
  • Clock in/out interns and manage training programs.
  • Support general administrative and operational functions as needed.

Technology & EMR Superuser Responsibilities

  • Serve as an EMR superuser; attend system trainings and support calls.
  • Provide on-site support and training to staff on EMR, patient portal, and telehealth platforms.
  • Troubleshoot system issues, submit IT tickets, and track resolution progress.
  • Aid in system configuration, including appointment types and scheduling templates.
  • Support patients and staff with portal access, scheduling, and usability issues.
  • Coordinate with IT department to resolve technical issues.
  • Support software upgrades and new system implementations.

National Program Coordination & Operational Support

  • Coordinate procurement and distribution of vaccines (e.g., influenza) across locations.
  • Serve as liaison with laboratory vendors (e.g., Quest, LabCorp) for account setup and issue resolution.
  • Partner with procurement and vendors to source medical supplies and equipment; manage ordering and vendor relationships.
  • Maintain relationships with Stericycle, ensuring compliance and coordinating services.
  • Support first responder program development, including CPR training coordination and AED procurement.
  • Ensure OSHA and compliance standards are maintained at assigned locations.
  • Collaborate with Risk Management and external partners on ergonomic and safety initiatives.
  • Aid in CLIA certification processes and compliance.
  • Collaborate with cross-site teams to standardize best practices and support wellness programming.

Qualifications

  • High School Diploma or equivalent required.
  • Completion of an accredited Medical Assistant or Licensed Practical Nurse (LPN) program required.
  • Current certification (CMA, RMA, or LPN licensure) required.
  • Minimum 3 years of experience in a medical assistant or LPN role.
  • Ambulatory care experience preferred.
  • Corporate or occupational health setting experience preferred.
  • Experience with EMR systems and Microsoft Office applications.

  • Advanced computer proficiency and systems aptitude.
  • Ability to maintain confidentiality and handle sensitive information.
  • CPR/AED certification required (or ability to obtain within 6 weeks of hire).
