About the role

The Medical Assistant – Front Office supports efficient patient flow and registration duties while performing various aspects of the front office patient visit.

Responsibilities

  • Support and monitor patient flow.
  • Scrub appointments in advance to ensure necessary information is available for patient visits.
  • Assist in the distribution of patients, including walk-ins.
  • Assess patient health needs, including taking temperature and collecting symptoms.
  • Inform patients of wait times and ensure proper flow in the system.
  • Schedule patient appointments.
  • Perform various aspects of patient visits during check-in, including collecting accurate demographics and insurance eligibility information.
  • Register new and established patients according to expected workflows.
  • Capture and update insurance information in patient records.
  • Complete enrollment and necessary forms for financial programs.
  • Complete necessary clinical forms required for patient visits.
  • Ensure forms and insurance cards/eligibility are scanned and indexed appropriately and timely.
  • Address documents within e-fax folders.
  • Collect nominal fees and patient balances at the time of check-in.
  • Reconcile and deposit all payments collected at the end of the shift.
  • Generate daily bank deposit and necessary reporting to the Finance department.
  • Obtain medical record releases and ensure processing of medical record requests.
  • Perform documentation in the patient’s electronic health record according to policy and training.
  • Follow procedures for opening and closing the health center.
  • Perform back office duties as assigned.
  • Maintain the mobile health unit, including weekly cleaning and restocking, dumping the septic tank, and refueling the vehicle.
  • Drive the mobile health unit to and from various designated locations, including after-hours and weekends.
  • Maintain all vehicle logs and DMV records as required.
  • Assist disabled passengers and children into and out of the vehicle.
  • Report vehicle safety, maintenance, and hazard issues to supervisor immediately.
  • Cooperate with any third-party official or employee assigned to vehicle inspections.
  • Adhere to the Attendance and Absenteeism Policy, recognizing that regular attendance is an essential function of the position.
  • Be available to present to and work at any FHCN location based on business need.

Requirements

  • Effective June 1, 2026, all individuals hired into the role must possess work-related skills at a higher level than completion of high school, including formal written and verbal communication skills, computational and computer skills, mathematical, and technical skills.
  • Have proof of completion of high school with a minimum overall GPA of 2.5 or completion of General Educational Development (GED) with a minimum overall score of 162.5.
  • Have health care-related knowledge frequently acquired through completion of a trade school, para-professional, or certificate-type program.
  • If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma.
  • Have two years of experience or successful completion of a medical assistant externship with Family HealthCare Network.

Skills

  • Ability to prepare complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
  • Ability to use Microsoft Excel to review and compile data, including the use of formulas, functions, lookup tables, and other standard spreadsheet elements.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Clinical Medical Assistant Certification from a teaching institute is preferred; for some locations, Administrative Medical Assistant Certification (or equivalent certification, including business, billing, coding) from a teaching institution may be considered. MA Certification from a medical doctor will be considered.
  • Ability to compile information in effective written form, including correspondence, reports, articles, or other documentation.
  • Ability to effectively convey technical information to non-technical audiences.

Physical Demands

While performing the duties of this position, the employee is regularly required to sit and use repetitive hand movement to type and grasp. The employee is frequently required to stand or walk and must occasionally bend at the waist, twist at the waist, squat, climb, kneel, reach above and below shoulder height, as well as occasionally lift and carry light objects such as supplies, charts, or small equipment.

Pay

  • Minimum Hourly Rate: $21.25
  • Maximum Hourly Rate: $29.33
