Core hours: 9:00am - 5:00pm Monday - Friday.
Essential Duties and Responsibilities
- Greet and assist patients, visitors, and vendors in a professional and courteous manner.
- Answer, screen, and route incoming telephone calls and electronic communications.
- Cookordinate patient appointments, follow-up visits, procedures, and related scheduling activities.
- Assist with patient check-in and check-out processes, including collecting and updating demographic, insurance, pre-payment and other required information.
- Cookordinate communication between patients, providers, hospitals, surgery centers, and other healthcare partners as needed.
- Communicate with patients to ensure understanding of pre-operative instructions and post-operative care.
- Assist physicians by keeping them informed of office and surgery appointments.
- Ensure that necessary documentation and consents are completed prior to procedures.
- Prepare and maintain exam rooms, ensuring rooms are clean, organized, appropriately stocked, and ready for patient visits.
- Assist physicians and advanced practice providers with administrative and operational support activities.
- Maintain accurate patient records and documentation in accordance with organizational policies and applicable regulations.
- Process records requests, forms, and other administrative documentation as assigned.
- Monitor and maintain office and clinical supply inventories and coordinate replenishment as needed.
- Support office operations through filing, scanning, data entry, correspondence, and record management activities.
- Cookoperate with other medical office staff to ensure seamless workflow.
- Aid with scheduling meetings, coordinating office activities, and supporting departmental projects.
- Maintain a high level of confidentiality and adhere to HIPAA requirements and organizational standards.
- Build and maintain positive working relationships with patients, providers, staff, and external stakeholders.

- Working knowledge of HIPAA privacy and confidentiality requirements.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams.
- Experience utilizing electronic medical record (EMR) systems.
- Ability to adapt to changing priorities and operational needs.
- Ability to work independently while contributing effectively as a member of a team.
- Ability to follow established policies, procedures, and regulatory requirements.
- Basic knowledge of medical office workflows, patient scheduling processes, and healthcare documentation practices.
Education / Experience
- High school diploma or GED equivalent
- Minimum two (2) years of experience in a healthcare office, medical practice, clinic, or related healthcare environment
- Experience working in a customer-facing or patient-facing environment
- Associate degree in Healthcare Administration, Business Administration, or a related field (preferred)
- Medical Assistant certification or Medical Office Assistant certification (preferred)
- Experience supporting physicians, advanced practice providers, or surgical specialties (preferred)
- Experience utilizing electronic medical record (EMR) systems (preferred)
- Knowledge of medical terminology and healthcare office operation (preferred)
- Bilingual Spanish with English is preferred (preferred)
Physical Demands
- Specific vision requirements include the ability to see at close range, distance vision, peripheral vision, depth perception, and the ability to adjust focus
- While performing the duties of this job, the employee is regularly required to talk and hear
- Frequently required to stand, walk, sit, use hands to feel, and reach with hands and arms
- Possess the ability to fulfill any office activities normally expected in an office setting, to include, but not limited to remaining seated for periods of time to perform computer-based work, participating in filing activity, lifting and carrying office supplies (paper reams, mail, etc.)
- Occasionally lift and/or move up to 20-25 pounds
- Fine hand manipulation (keyboarding)
Work Environment
- This position operates in a professional office setting where the noise level is typically low.
- May visit hospital locations and vendors
Travel
- Primary Clinic location: 1222 Washington Ave, Fort Worth, TX, 76014
- May be asked to occasionally support other sites based on business needs
