A Brief Overview

This position provides clinical responsibilities delivering high quality patient care and clerical support for patients within the inpatient and outpatient medical clinics/practices and is the initial focal point of the patient experience. Accountable for the gathering, entry and verification of registration information. In addition, collects of co-pays, may provide entry of patient charges and facilitates the care process by effectively processing information in a timely and accurate manner. This position must retain a high level of professionalism at all points of time.

What You Will Do

  • Assists physician and other providers to examine and treat patients, including handing instruments or materials or performing such tasks as giving injections or removing sutures.
  • May give medications or immunizations, administer basic healthcare or medical treatment, change dressings on wounds, and applying bandages, dressings, or splints.
  • Obtains, identifies and records patients' medical history, vital statistics, prevention data, medications, chief complaints and other pertinent information; observes, records and reports pertinent patient symptoms, reactions, condition changes or information such as test results in medical records.
  • Collections, prepares and transports blood, tissue or other laboratory specimens, logs specimens and prepares for testing.
  • Performs basic laboratory test, disposes of contaminated supplies and sterilizes instruments.
  • Performs phlebotomy functions, venipuncture and skin puncture procedures as requested or required by provider.
  • Prepares treatment rooms for patient examinations, keeping rooms neat, clean and stocked with adequate medical supplies.
  • Maintains instruments and prepares sterilization as required.
  • Operates electrocardiogram (EKG) or other medical equipment to administer routine diagnostic test.
  • Prepares patient for visit, keeps them updated on the status of their appointment and assists with rescheduling or scheduling follow-up appointments. Instructs patient as to general clinic policies, patients' rights and responsibilities as needed. Explains treatment procedures, medications, diets or physician's instructions.
  • Greets patients upon arrival in practice.
  • Completes and verifies registration information for each patient:
    • Verifies patient identity per protocol.
    • Verifies address utilizing open ended questions.
    • Ensures benefit verification process for current service date has been completed.
    • Scans insurance card(s) into system.
    • Ensures patient has received HIPAA, Financial Policy, MSP, Pt Notification of Provider based clinic (if appropriate) have been signed, and scans as needed into system.
    • Collects co-pay as well as any outstanding self-pay balance:
      • Provides patient with receipt of transaction.
      • Enters into system.
      • Maintain cash-drawer, reconcile any end-of-day cash receipts per ambulatory protocol.

Workload

  • Works assigned encounter edits on a frequent basis throughout the day.
  • Depending upon size of department assigned work could be also be Encounter Prep, Eligibility Checks, Appointments to schedule, Appointments to re-schedule, no-shows, encounters with no charge.
  • Performs check-out duties for patients as they exit practice:
    • Schedules patient for follow-up as requested by provider and
    • Provides assistance for referrals as directed.

Scheduling

  • If dedicated scheduling staff do not exist in the department, schedules both new patients and follow-up care based on patients calling into the practice.
  • If scheduling new patients, responsible for obtaining necessary information for insurance verification.
  • Assists patients in obtaining necessary referrals for follow-up services. Also could be responsible for obtaining proper authorizations and pre-certifications for all outside procedures scheduled through the outpatient clinic or department.
