About the role
Medical assistants perform routine administrative and clinical tasks to keep the offices of physicians and other health practitioners running smoothly. Medical assistants are instrumental in helping patients feel at ease in the physician’s office and often explain the physician's instructions. Medical assistants are cross-trained to perform administrative and clinical duties. Responsible for patient care under the direction of a physician or licensed health care provider.
Responsibilities
- Provides services to individuals and coordination/support to psychiatrists, PA, and APRNs.
- Initiates and completes all relevant documentation within organizational time frames.
- Performs duties in a prioritized, organized, and orderly manner to maximize clinic efficiency and productivity.
- Collaborates with team members and other staff to ensure a complete, appropriate, and positive experience for all clients.
- Follows instructions and completes job duties as assigned by providers and management staff.
- When taking vitals, ensures medication history is accurate, removing all medications patient is not currently taking.
- Responsible for performing genetic testing, educating the patient, submitting tests, and following up on results so the provider has them for the next patient visit.
- Welcomes clients, ensures they are shown to examination rooms, and prepares them for the physician in a timely and welcoming manner.
- Performs a variety of medical assessments including blood pressure, height, and weight.
- Provides appropriate and timely documentation.
- Takes medical histories.
- Assists the physician and nurse with direct client care as well as tasks such as filing, chart documentation, faxes, prescription medical programs, and telephone follow-up as assigned.
- Maintains, copies, and files patient records and other information as needed.
- Monitors voicemails throughout the day, returns calls, and effectively resolves the reason for the call within 24 hours. Properly documents each call and subsequent interaction.
- Triages patient phone calls, both incoming and on voicemail. Documents the interaction within 24 hours.
- Reviews Athena messages and respective inbox. Responds and documents accordingly. Discusses patient concerns with the respective provider within 24 hours of incoming call, email, voicemail, or message. Documents appropriately within the same time frame.
- Takes medication orders from psychiatrist/APRN/PA and phones them into the pharmacy if needed. Appropriate documentation, as well as a confirmation phone call to the client, is expected within 24 hours.
- Prepares medication refill requests within 24 hours of receiving them.
- Verifies pharmacy information, last visit, last fill, insurance, pickup, or mail, etc.
- Handles prior authorizations within 24 hours of receiving the request from the pharmacy or insurance company. Documents all interactions with the patient and pharmacy.
- Updates medications and respective information on patient charts.
- Provides guidance and education to patients on the details of what has been prescribed and when/where to get the medication.
- Provides information for the after-hours call line and instructions to call if the patient has a question. Documents this interaction in the patient chart.
Requirements
- High School Diploma or Equivalent.
- One-year experience in healthcare, medical staff services preferred.
- Medical Assisting certification preferred.
Skills
- Proficient oral and written communications.

- Must demonstrate positive interpersonal relationship skills with individuals and groups in a wide variety of settings.
- Medical terminology knowledge essential.
- Effectively uses Electronic Health Records.
- Knowledge of CPT & ICD-10 Coding procedures.
- Knowledge of medication procedures.
