About the Role
Manages clinic calendars to ensure patient appointments are scheduled efficiently and productively, providing excellent customer service. Operates a multi-line switchboard, an in-house paging system, and maintains a general information center for the facility.
Schedule is flexible and may require some evenings and weekends.
Responsibilities
- Work in practice management system database calendar for clinic site
- Accept and confirm patient appointments over the telephone
- Conduct outbound phone calls for follow-up appointments and reminders
- Conduct patient care surveys for patient care reports
- Document and report patient complaints and grievances to supervisor for corrective action
- Update and maintain logs of patient phone calls and appointments
- Other duties as designated by Clinic Manager or Operations Director
- Answer telephone, take messages, schedule appointments, and provide general agency/program information
- Log calls for different departments
- Open and distribute mail accordingly
Requirements
- Microsoft Office/Word/Excel/Outlook proficiency
- Excellent communication and customer service skills
- Bilingual (English/Spanish) required
- Ability to work as a team player and independently
- Reliable transportation and ability to travel from facility to facility (10% travel outside the local area)
Qualifications
- Medical Assistant Certificate or Certified Medical Assistant
- High school diploma or GED equivalent
- One (1) year minimum customer service experience, preferably in a medical setting
- Current BLS Certification
- Valid State Identification
- Must maintain active clinical privileges, including regularly scheduled performance of clinical duties, and keep all licenses, certifications, diplomas, and trainings current
- Commitment to goals and philosophy of Northeast Community Clinic
Physical Requirements and Working Conditions
OSHA Category 1 – Involves exposure to blood, body fluids, or tissues. The work is mostly non-sedentary in nature.
- Regularly required to communicate, use repetitive motions, move, and remain stationary
- Regularly push, pull, and lift up to 20 pounds; occasionally up to 40 pounds
- Must possess mobility to work in standard office and clinic settings
- Stamina to maintain attention to detail despite interruptions, read printed materials, use a computer, and communicate in person and over the telephone
