About the Role
Reporting to the Medical Manager, the Medical Administrative Coordinator provides administrative and operational support for the onsite medical clinic. This role coordinates clinic activities, maintains records and documentation, supports scheduling and reporting efforts, manages administrative processes, and serves as a liaison between the medical team, safety organization, project leadership, and external partners. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced construction environment.

Responsibilities
- Clinic Administrative Support
- Provide day-to-day administrative support for onsite clinic operations.
- Coordinate schedules, meetings, and communications for clinic personnel.
- Maintain clinic records, documentation, reports, and operational logs.
- Assist with ordering, tracking, and maintaining clinic supplies and equipment inventories.
- Support onboarding, credential tracking, and administrative needs for clinic staff.
- Documentation & Reporting
- Maintain accurate medical, operational, and workforce-related records in accordance with company requirements.
- Assist with injury documentation, reporting, and follow-up tracking.
- Compile clinic utilization reports, performance metrics, and other project reporting requirements.
- Prepare correspondence, presentations, meeting materials, and routine reports.
- Safety & Program Coordination
- Support coordination between the medical clinic and project Safety teams.
- Assist with workforce health initiatives, injury-prevention programs, and wellness activities.
- Track program data and identify trends for reporting to project leadership.
- Coordinate communication related to medical and safety programs.
- Emergency Preparedness Support
- Assist with scheduling and coordinating emergency drills and preparedness exercises.
- Maintain emergency contact lists, documentation, and resource records.
- Coordinate with local medical providers, hospitals, EMS, and other external partners as needed.
- Track action items and follow-up activities from drills and incident reviews.
- Administrative Process Improvement
- Support development and maintenance of administrative procedures and standard operating processes.
- Identify opportunities to improve clinic workflows, recordkeeping, and communication processes.
- Assist in implementing standardized administrative practices that support efficient clinic operations.
Qualifications
- Previous administrative, office management, project coordination, or operations support experience.
- Associate's or Bachelor's degree in Business Administration, Office Management, Communications, or a related field preferred.
- Strong organizational and time management skills with the ability to manage competing priorities.
- Experience maintaining records, tracking information, and supporting reporting processes.
- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and SharePoint.
- Strong written and verbal communication skills.
- Ability to work effectively with employees, leadership, vendors, and external partners.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Comfortable working onsite in a dynamic construction environment.
Preferred Qualifications
- Experience supporting large construction, industrial, engineering, healthcare, or operational teams.
- Experience with document management systems and project documentation.
- Familiarity with workforce support, onboarding, scheduling, or office administration.
- Experience coordinating meetings, travel, vendor communications, or project logistics.
