Materials Specialist
About the Role
Join the Harris Center for Mental Health and IDD as a Materials Specialist. This position is responsible for receiving and sorting incoming and outgoing mail and packages according to postal regulations and unit requirements, as well as facilitating the distribution of mail to end-users and staff. The role also involves controlling and tracking materials, packages, and equipment from receipt through issue to the customer, and assisting with central stores, printing, fixed asset, and property disposal requests.
Key Responsibilities
- Sort and organize mail and equipment for daily pick-up and delivery; hand sort letters and equipment as necessary
- Process, sort, and stamp U.S. Postal, inter-office/inter-departmental, and accountable mail for the agency
- Process outgoing mail using manual and computerized mail processing systems; weigh parcels to determine postage
- Prepare daily reports and paperwork on outgoing mail and parcels
- Check items to ensure addresses are legible and correct via agency directory; redirect mis-addressed items
- Bundle, label, and route sorted mail to designated areas according to established procedures and deadlines
- Accurately add and delete end-user mail service requests
- Respond by telephone to questions regarding mail area policies, USPS rules, rates, and regulations
- Provide over-the-counter service to walk-in customers
- Operate delivery vehicle, use hand dolly, and carry mail; operate current mail processing equipment
- Operate and maintain various types of automated sorting and scanning machines
- Review incoming checks for accuracy (log, calculate) and prepare for submission to Accounting
- Review incoming documentation (POs) for items received and complete the receiving process in the ROSS Financial System
- Receive and monitor equipment received at the loading dock area
- Handle large containers and carry heavy packages and equipment; lift and move heavy items as needed
- Order supplies for mailroom as required
- Prepare and maintain delivery schedules and distribute priorities
- Adhere to all agency training, safety, and department housekeeping procedures
- Support end-user requests in areas including central stores, printing, fixed asset, and property disposal/surplus
- Perform other duties and special projects as assigned or directed
Qualifications
Education: High School Diploma or General Education Degree, and/or college hours or associate degree.
Experience: Three to five (3-5) years of previous related experience in customer service, business operations, and/or training, or equivalent combination of education and experience. Experience in a high-volume, fast-paced environment is required.

- Ability to perform and comprehend mathematical functions; display basic number literacy
- Ability to climb stairs and walk extensively; perform flexible motions to complete repetitive tasks
- Ability to lift and carry equipment, boxed supplies, etc.
- Strong ability to work in a production environment under schedule and cost pressure
- Ability to work in stressful situations and stay under control with continually changing multi-task work assignments in a deadline environment
- Ability to interact with individuals who may be emotionally or physically hostile, agitated, or uncooperative
