About the Role

Under general supervision by the Surgical Director and co-director, this role ensures efficient clinical operations in an office-based clinical environment. The primary focus is managing six exam rooms, including maintaining the availability and functionality of laser and specialized voice technology, as well as supplies. Responsibilities include efficient turnover of rooms between patients, patient interaction, and maintaining safe patient care areas. This position plays a key role in the Voice Center’s team, collaborating on patient flow and requirements with administration, finance coordinators, surgeons’ secretaries, and caregivers.

Responsibilities

• Review information on scheduled patients prior to clinical sessions to determine specialized upper airway and laryngeal instruments and/or equipment needed for diagnostic and outpatient treatment procedures.
• Set up clinical rooms prior to each patient visit with all required specialized instruments and equipment.
• Perform daily testing and routine maintenance of all specialized instruments and equipment used for diagnostic testing and outpatient treatment of upper airway and larynx disorders.
• Coordinate the placement of patients into clinical rooms equipped for their specific diagnostic and treatment needs.
• Assist surgeons with specialized outpatient procedures, including laser equipment, Botox administration, laryngeal EMG, and vocal fold injections. Responsibilities include patient preparation, positioning, setup and operation of suction and laser/EMG equipment, preparation of injection delivery systems, passing instruments, intra-procedure patient monitoring, and post-procedure care.
• Under physician supervision, disinfect, replenish, and secure topical anesthetics.
• Schedule and coordinate routine manufacturer servicing of specialized clinical equipment.
• Recognize and correct technical problems with specialized clinical equipment and interface with manufacturers to resolve issues.
• Coordinate repairs for equipment sent back to manufacturers, including packaging and follow-up.
• Perform cleaning and sterilization of all specialized clinical equipment, including autoclaving surgical instruments, using CIDEX OPA for endoscopes, and processing transnasal endoscopes with a Steris system.
• Manage clinical supply inventories and coordinate timely ordering of replacement items.
• Oversee patient flow through the outpatient clinic, including taking vital signs, weight, and basic intake information.
• Ensure safety procedures for laser use in outpatient treatments, including eye protection, documentation of laser treatment parameters, and proper use of laser-related safety gear (e.g., plume filters on suction).
• Read, understand, and annually review all Voice Center, unit, and institutional policies and procedures related to job duties.
• Engage patients in the testing process with clear explanations and reassurance.
• Demonstrate initiative in self-improvement and promoting the smooth operation and efficiency of the Center.

Qualifications

• Minimum of 3 to 5 years of directly related experience, especially in assisting with surgical procedures.
• Technical skills to prepare and operate medical diagnostic and treatment equipment.
• Associate degree, preferably in a healthcare, medical, or technical-related program.
• Ability to communicate effectively and comfort patients undergoing diagnostic procedures.
• Past experience as a medical or technical assistant, preferably in a hospital or busy physician’s practice.

Pay

Pay range: $17.71 - $22.79 per hour (Grade 1). The base pay is determined by skills, relevant experience, education, certifications, and other essential factors. Additional compensation may include benefits, career advancement opportunities, differentials, premiums, bonuses, and recognition programs.
