Marketing Operations Specialist (Contract)
This role is a contract assignment at Palo Alto Networks. Contractors will not be employed by Palo Alto Networks but through our trusted staffing partners.
About the Role
Palo Alto Networks is looking for a Marketing Operations Specialist (Contract) to work with the Marketing team. This is a great opportunity for a talented individual who has the desire to associate with a fast-growing company in a truly international environment.
Location: Santa Clara, CA (Hybrid 3X a week to office)
Duration: 12 months
The Chief of Staff to the CMO is seeking an agile, tech-forward Operations Contractor to automate and manage the logistics and operational workflows of the CMO Office. Rather than executing everyday workflows manually, this individual will focus on system optimization—building lightweight automations, low-code dashboards, and AI-driven workflows to streamline executive reporting, procurement tracking, and leadership communications. The ideal candidate is a versatile operational navigator who thrives on variety, brings a natural curiosity to solving ambiguous problems, and is energized by the challenge of figuring out new tools and processes on the fly. You should comfortably balance core assistant-level logistics with technical low-code/automation ecosystems.
Responsibilities
Operations & Logistics Support (The "Assistant" Core)
- PO Lifecycle Tracking: Maintain an operational tracking system for the end-to-end lifecycle of purchase orders (POs) opened on behalf of the CMO office and special projects, ensuring zero delays in vendor onboarding.
- Contractor Approval Pipelines: Design a structured routing and tracking workflow for contractor requests requiring the CMO's sign-off, automatically aggregating necessary justification metrics from requesting managers before routing.
- Special Project Interface: Serve as the primary operational and logistics interface for high-priority initiatives, such as tracking inventory thresholds and vendor communication pipelines for the global merchandise store overhaul.
- All-Hands Broadcast Production: Manage the end-to-end technical orchestration, digital backend setup, and interactive tool configuration (e.g., Zoom Webinar, Slido Q&A, and slide asset formatting) for global marketing All-Hands meetings.
AI & Low-Code Workflow Automation (The "Builder" Core)
- Intake System Architecture: Design, build, and deploy automated intake forms and workflows (using tools like Microsoft Power Automate, Zapier, or AI-driven scripts) to automatically collect, aggregate, and format weekly CEO report inputs from marketing leadership.
- Tracking Dashboard Development: Build and maintain lightweight operational dashboards (via Excel, Tableau, PowerBI, or Notion) to visually track cross-functional action items, deadline compliance, and CMO project milestones.
- AI Tool Prototyping: Experiment with and build custom AI prompts or lightweight GPT agents specifically designed to clean, normalize, and compile the first structural passes of qualitative marketing data.
Requirements
- 4+ years of marketing operations experience
- The "Builder" Persona: Highly proficient in low-code/no-code automation platforms (e.g., Zapier, Microsoft Power Platform, Make.com, or platform-native workflow rules).
- Data & Dashboard Fluency: Experience building clear, scannable trackers and dashboards in Excel/Sheets, Notion, Airtable, PowerBI, or equivalent tools.
- AI-Literate: Comfortable leveraging generative AI tools (ChatGPT, Claude, Copilots) to write basic scripts, clean text, or automate prompt-based data formatting.
- Technical Production: Experience managing the backend settings, polling features, and configuration of enterprise webinar tools (Zoom Webinar, Webex, or Teams).
Skills
- Adaptive Problem Solving: A proven comfort with ambiguity and a track record of quickly mastering new projects, systems, or functional disciplines as business needs evolve.
- Systems Thinking: A natural inclination to look at a manual, repetitive process (like chasing people via email) and build a workflow to eliminate the manual step.
- Discretion & Detail Orientation: Comfortable handling sensitive data, procurement numbers, and organizational changes with extreme accuracy.
- Proactive Coordination Polish: Strong communication skills to interface with leadership proxies, ensuring data inputs and action items are completed on time with professional persistence.
