About the Role

We're looking for a curious, analytical, and systems-minded marketer who will help make our marketing team work more efficiently and effectively. Reporting to the Marketing Operations Manager, the Marketing Operations Specialist will help build the technology, processes, analytics, and AI capabilities that power our marketing organization. This role is ideal for someone who enjoys solving problems, learning new technologies, improving workflows, and turning data into actionable insights.

You'll work across HubSpot, website operations, dashboards, reporting, AI tools, marketing automation, and campaign execution to help our team operate more efficiently and make smarter decisions. While this position is rooted in marketing operations, we're also looking for someone who has an interest in broader marketing disciplines.

Responsibilities

  • Marketing Technology & Systems
    • Support and optimize HubSpot across Marketing, Sales, and Service Hubs.
    • Build and maintain marketing automation workflows, forms, landing pages, and email campaigns.
    • Improve lead scoring and routing, segmentation, lifecycle stages, CRM processes, and marketing data quality.
    • Own the day-to-day management and continuous optimization of the Waites website, ensuring it reflects current brand messaging, supports lead generation, and delivers an excellent user experience.
    • Support SEO/AI SO execution: on-page updates, metadata, and technical fixes that improve organic visibility and LLM mentions.
    • Assist with integrations between HubSpot and other marketing tools.
    • Document and continuously improve marketing processes and operational workflows.
  • Analytics & Business Intelligence
    • Build and maintain dynamic dashboards that provide real-time visibility into marketing performance and connect marketing efforts to pipeline impact, revenue, and customer growth.
    • Create reports and visualizations that help the marketing team and leadership make data-driven decisions from a variety of data sources.
    • Monitor campaign performance, identify trends, and recommend opportunities for optimization.
    • Ensure marketing data is accurate, consistent, and actionable across platforms.
    • Help scale marketing measurement, attribution, and forecasting capabilities as the organization grows.
  • AI & Process Automation
    • Identify and execute opportunities to leverage AI to improve marketing productivity and campaign performance.
    • Research and evaluate emerging AI and marketing technologies.
    • Help create scalable systems that allow the marketing team to work more efficiently.
    • Champion continuous improvement by identifying smarter ways to execute recurring marketing activities.
  • Campaign Operations
    • Support the execution of integrated marketing campaigns across digital, email, events, webinars, and content marketing.
    • Coordinate campaign assets, timelines, and marketing workflows.
    • Manage the intake, assignment, and follow-up processes for leads collected at tradeshows and industry events.
    • Assist with audience segmentation, lead management, and campaign reporting.
    • Help ensure campaigns are executed accurately, efficiently, and on schedule.
    • Build and execute post-event email sequences and nurture flows tailored to tradeshow audiences.
    • Monitor performance metrics and continuously test and refine to improve results.
  • Customer Education and Training Programs
    • Build and automate customer marketing programs to enhance the customer experience.
    • Partner with writers to build and maintain a robust knowledge base, ensuring content is accurate, accessible, and up to date.
    • Identify content gaps and work cross-functionally with product, service, and support teams to address them.

Requirements

  • Bachelor's degree in Marketing, Business, Analytics, Information Systems, or a related field preferred.
  • 2-5 years of experience in marketing operations, marketing analytics, digital marketing, marketing automation, or marketing technology.
  • Experience with HubSpot or another CRM and marketing automation platform.
  • Experience building dashboards using HubSpot, Looker Studio, Power BI, Tableau, or similar business intelligence tools - bonus points if you’ve enabled Claude Code, Replit, or other AI tools.
  • Strong analytical skills with the ability to translate data into meaningful business insights.
  • Excellent technical aptitude and enthusiasm for learning new systems and technologies.
  • Strong organizational skills with exceptional attention to detail.
  • Experience using and curiosity about AI tools such as ChatGPT, Claude, Gemini, etc. and excitement for applying them in everyday marketing work.
  • A continuous improvement mindset and passion for building better processes.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced, collaborative environment.

  • Experience with website CMS platforms

  • Basic SQL or data analysis experience
  • Customer marketing or lifecycle marketing experience
  • B2B SaaS or industrial technology marketing experience
  • Experience using AI development tools such as Replit, Claude Code, Codex, etc. to build productivity tools.

Location & Logistics

Must live in Cincinnati metro area (or be willing to relocate). Onsite with remote flexibility as needed. Minimal travel; occasional tradeshow support. Must be authorized to work in the U.S. (sponsorship is not available at this time). Exempt position.
