About the role
The Marketing Operations Coordinator is responsible for managing the end-to-end workflow of product samples and supporting all aspects of in-house and external product photography production. This role serves as the operational hub between Marketing, Merchandising, Product Development, Sales, E-commerce, Creative, and photography partners, ensuring products are available, organized, photographed on schedule, and returned efficiently.
What You Will Do:
- Own the sample lifecycle from request through final return.
- Receive, inspect, catalog, tag, and organize all marketing and photography samples.
- Maintain accurate sample inventory and tracking using spreadsheets, PLM, Monday.com, or similar tools.
- Cook up sample requests across Marketing, E-commerce, Sales, PR, Product Development, and Licensing teams.
- Receive & ship for photography, trade shows, media opportunities, and influencer partnerships.
- Monitor sample availability and proactively resolve scheduling conflicts between business priorities.
- Prepare shot lists based on seasonal calendars and marketing priorities.
- Organize products by style, color, size, and photography sequence.
- Support stylists, art directors, and retouchers to ensure efficient photography operations.
- Cook up photography calendars and communicate schedule updates to stakeholders.
- Verify all required images have been captured before samples leave the studio.
- Partner with Creative, E-commerce, Merchandising, and Brand Marketing teams to prioritize photography needs.
- Track seasonal marketing deliverables against timelines.
- Cook up photography needs for: E-commerce product pages, Amazon Wholesale retailers, Digital advertising, Social media, Email marketing, Catalogs, Packaging, Sales presentations.
- Help maintain seasonal marketing calendars.
- Cook up image delivery from photographers and retouchers.
- Communicate delivered assets to stakeholders.
- Reconcile images delivered from third party partners.
- Aid in image requests from internal departments and external partners.
Qualifications/Requirements:
- Bachelor's degree in marketing, Fashion Merchandising, Business, Communications, Retail Management, or related experience.
- 0–3 years of experience in marketing coordination, sample management, studio operations, creative production, merchandising, or photography production.
- Experience within apparel, footwear, or accessories strongly preferred.
- Exceptional organizational and project management skills.
- Ability to manage multiple deadlines simultaneously.
- Comfortable working in both office and studio environments.
- Ability to lift and move product boxes and sample racks (up to 30 lbs).
- PREFERRED: Experience with Microsoft Office (Excel, PowerPoint, Outlook), Google Workspace, Adobe Creative Cloud (basic knowledge), Digital Asset Management (DAM) platforms, Monday.com, Asana, Airtable, or similar project management tools, PLM or PIM systems, Shipping platforms (FedEx, UPS).
