Marketing Coordinator
Responsibilities
- Cook up event logistics by arranging venues, lodging, transportation, and external service providers to keep activities on schedule and within scope.
- Maintain accurate attendee records and respond quickly to schedule adjustments, registration updates, and other time-sensitive event changes.
- Organize speaker calendars and support detailed event timelines to ensure sessions, meetings, and presentations run smoothly.
- Prepare and verify branded materials, event assets, and supporting documents so all resources are complete and ready for use.
- Review dates, times, locations, and outgoing communications carefully to reduce errors and avoid scheduling conflicts.
- Manage the shipment and delivery of event supplies, including booth materials, promotional items, and technical equipment.
- Monitor deadlines across multiple workstreams and follow up proactively to prevent missed tasks, duplicate efforts, or communication gaps.
- Provide general administrative support such as scheduling coordination, calendar upkeep, and handling inbound calls as needed.
- Avoid light lifting related to event setup, materials handling, or shipment coordination.
Requirements
- At least 2 years of experience in coordination, administrative support, event operations, or a related field.
- Demonstrated ability to manage multiple timelines, priorities, and logistics details in a deadline-driven environment.
- Strong attention to detail with a consistent record of maintaining accuracy across schedules, communications, and event plans.
- Proficiency with Microsoft Office Suite, including intermediate Excel skills; advanced Excel capability is preferred.
- Comfortable working with digital tools and computer-based tasks tied to logistics tracking, scheduling, and documentation.
- Educated in effective communication skills with the ability to interact effectively with vendors, attendees, speakers, and internal stakeholders.
- Experience supporting calendars, scheduling needs, and inbound communications in a fast-paced setting.
Qualifications
